The individual will be responsible for the coordination of activities and all documentation related to the medical field service.The Medical Service Coordinator will ensure that client visits are scheduled and that the associated documentation is accurate and complete for the completion of the work.Communication with customers and technicians, computer data entry, parts ordering and tracking, document filing, bid preparation and telephone solicitation are some of the duties of the position.The employee must ensure that the procedures/instructions in place are consistently followed.TO JOIN OUR TEAM IS TO ENJOY: A location of choice; A competitive salary based on experience; A work/life balance; A full range of benefits; A profit-sharing program; 3 to 5 days more public holidays than prescribed by law; A dynamic and rewarding working environment.KEY RESPONSIBILITIESTasks%1.Ensure that the work environment is safe, clean and organized at all times.Always2.Coordinate and schedule with customers the visits of external technicians across Canadian territories, according to the availability of technicians.50%3.Prepare submissions for medical service calls, enter data provided bytechnicians to complete work orders and open and close work orders.4Follow up on parts (requisitions and inventory transfers) for the execution of medical fiels service calls.20%4.1Maintain and file all documents related to the medical service department: work orders,submissions, cost calculations, etc.4.2Conducting telemarketing activities to promote the medical service department.5.Prepare/transmit selected departmental communications and reports.10%6.Promote and encourage a positive attitude for all team members.Always7.Open and close medical service folders and work orders.20%8.Enter data submitted by technicians to complete relevant work orders andsubmit/confirm quote to customer (if applicable)If required9.Contact customers to organize shipment of equipment and/or collect purchaseorders.Always10.Handle other brands' service calls, parts requisition, and quotations.If required10.1.Follow up on parts orders (requisition, stock transfers) needed for repairs andservice calls.10.2.Looks over rental pumps: shipping and receiving procedure, inventoryadjustments, customer follow-ups and invoicing.10.3.Carry out any other tasks and take on any other responsibilities that theimmediate supervisor may assign on occasion.PRErequisitsDiploma of Vocational Studies (DVS) in administration.2 to 3 years experience in a similar position or in customer service (medical/hospital environnment - an asset).2-3 years experience coordinating a service or technical team.PARTICULAR SKILLSAbility to work with a computer and fluency with Office Suite.
