THE OPPORTUNITY

We are seeking an exceptional Administrative Assistant for our client in an urgent to fill role. In this role, you will play a pivotal part in supporting the smooth operation of their busy office and assisting their team in many vital tasks. You will require excellent organizational skills, attention to detail, and the ability to handle confidential information with an extremely high level of discretion.

As this Administrative Assistant you will thrive and grow in this fast-paced environment, taking on the eclectic needs of the business with enthusiasm and precision. This role will require someone who is not only organized and efficient but also proactive and capable of taking initiative. Additionally, you will be incredible at handling reception duties and interacting effortlessly with clients.

KEY RESPONSIBILITIES

As the Administrative Assistant you will:

•Serve as the primary point of contact for all administrative inquiries, both internal and external, demonstrating professionalism and courtesy at all times.

•Act as the first point of contact for the company, greeting visitors and answering incoming calls in a professional and courteous manner.

•Manage complex calendars and scheduling for the team, proactively identifying and resolving conflicts.

•Anticipate the needs of the team and take proactive measures to ensure efficient workflow, utilizing available tools and technology to streamline processes.

•Coordinate meetings, conferences, and travel arrangements, including booking accommodations and transportation.

•Prepare and edit correspondence, reports, and presentations with accuracy and attention to detail, maintaining consistency in branding and messaging.

•Assist with various administrative tasks such as data entry, filing, and inventory management, ensuring that all records are organized and easily accessible.

•Collaborate with team members to facilitate cross-functional communication and support initiatives as needed.

•Handle personal errands and tasks for management as needed.

•Maintain a clean and organized reception area.

•Build and maintain strong relationships with clients by providing excellent customer service and support.

•Maintain a calm and rational approach in all situations.

•Demonstrate genuine honesty and authenticity in your actions and interactions.

QUALIFICATIONS

As the Administrative Assistant, you will bring:

•Ability to work independently as a self starter and also be part of the team.

•Willingness to take on additional responsibilities and assist with personal tasks for management.

•Ideally, previous experience working in a client-facing role with regular detailed, and highly confidential interactions.

•Experience working in a dynamic, fast paced, and innovative environment.

•Authentic guardianship and complete adherence to discretion and integrity when handling sensitive and confidential information.

•High school diploma or equivalent; additional qualifications in Office Administration are a plus.

•Previous experience in an administrative role or similar capacity, demonstrating proficiency in office management and coordination.

•Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and all levels of the team.

•Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.

•Expertise in modern office software and technology, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

•Proactive mindset with a willingness to take initiative and adapt to changing priorities.
