Cambridge Forums Inc. has been creating cornerstone meetings for preeminent advisors, executives, and public-sector leaders for over 20 years. We are seeking a Vendor Relations & Procurement Coordinator to add to our team of strategy and research-focused professionals. As part of a highly effective team that is accountable to key internal and external stakeholders, the Vendor Relations & Procurement Coordinator plays a pivotal role within our organization by delivering high quality vendor agreements through the cultivation of strategic and strong relationships. Successful candidate will be responsible for sourcing new vendors and evaluating cost, managing vendor relationships, coordinating and negotiating multiple year contracts, maintaining a venue database, while collaboratively engaging with internal stakeholders. This position may require domestic and international travel, up to 20% annually. A valid passport with no known travel restrictions is mandatory. Experience in vendor contracting - RFP, negotiation, review contract terms, budgeting, service estimates Highly organized, time management skills, ability to multitask numerous projects while meeting deadlines Meticulous with a keen eye for detail in projects, budgeting, planning & execution Agile and able to pivot in a fast-paced environment, comfortable with change Inclined to take ownership of tasks/ projects and able to work independently Proactively develop and maintain network of diverse event professionals 5+ years' sourcing and procurement experience in a events industry market ~ Comprehensive knowledge of procurement principles and best practices ~ Solid strategic and analytical skills ~ In depth experience with vendor contractual terms to assess and mitigate business risk ~ Experience with sourcing and procurement programs, systems and tools ~ Possesses the necessary documents required for international travel ~ Intermediate level computer skills - MS Excel, Client Relationship Management ("CRM") database, Microsoft Teams and remote technology resources Manage vendor contracts, including negotiation, budgeting and vendor relationship management, Ongoing communication with internal stakeholders regarding any relevant and critical information pertaining to vendor research and contracting, Maintain a comprehensive venue database to organize critical information such as pricing, capacity, and location, and routinely capture new findings relevant to company standards and requirements, Conduct vendor site inspections to assess venue suitability – this will require domestic and international travel, Serve as the primary representative of the Cambridge Forums brand in vendor discussions and occasionally on location, Collaborate with the team to maintain top industry standards through the implementation of best practices, education, processes, introduction of new initiatives and continual review of the current state, Undertake additional departmental projects as assigned.
