This is a temporary full-time position for 3 months.

Health Commons ( ) is a social not-for-profit innovation lab housed at Sinai Health. Founded in 2017, we have a mandate to bring population health approaches, tools and solutions to the Ontario health system. With a health equity lens guiding our work, we collaborate with a range of partners to co-design unique solutions that are founded on communities' own knowledge and expertise, challenge established norms, and lead to lasting change. Our solutions are intended to be scalable, non-proprietary, and shared broadly so everyone can benefit from them.

Health Commons is seeking a Project Coordinator Student with outstanding communication skills to support the team as they tackle a number of exciting projects. The role will foster solid ongoing relationships with project partners, develop and compile documentation and presentations, coordinate meeting logistics with partners, and support day-to-day project activities. We are seeking a stellar team player who loves being the "go-to person" for getting things done, values relationships and is solution-oriented with a strong bias for action in a startup-like environment.

Key Responsibilities

Office administration

  • Managing senior team calendars, including coordinating and scheduling internal and external appointments, utilizing professional judgment in establishing priorities and consulting with leadership as appropriate
  • Scheduling phone/in-person/videoconference meetings, booking space, equipment and catering, preparing and tracking agendas and recording minutes, coordinating material for distribution with a high degree of accuracy and promptness

Project Coordination

  • Supports project teams in development of knowledge products in all phases of the project lifecycle including initial scoping, research, product design and development, dissemination, testing and evaluation, applying sound judgment to prioritize and consult with project leads as needed
  • Supports project teams with project administration including meeting logistics, scheduling and travel, preparing agendas, tracking action items, coordinating material for distribution and recording minutes with accuracy and speed
  • Participates in project meetings to document insights and actions, and coordinate project communications and information sharing
  • Maintains internal tools to track partner activities and roles

Communications

  • Develops and executes communications strategies with key partners, funders and other stakeholders
  • Develops stellar quality written communications material for internal and external audiences
  • Proofreading correspondence on behalf of the team including reports, letters, responses, documentation, etc. to support high quality product development

Job Requirements

  • Pursuing a post-secondary degree in a relevant discipline (e.g. Business Administration or related field) from a recognized educational institution
  • Recent project coordination experience, preferably in a health care or related setting is an asset.
  • Tech savvy with advanced computer skills including Microsoft Outlook, Word, Excel, PowerPoint, Google Drive/SharePoint, Slack and social media platforms. Experience using platform such as Canva, Mailchimp, SquareSpace and WordPress would be an asset.
  • Excellent relationship building skills; polished, professional, and confident with a proven ability to work with individuals across all levels of an organization
  • Superior organizational skills and sound judgement to manage competing priorities and seek guidance when necessary
  • Excellent written and verbal communication skills with the proven ability to write and edit material for accuracy and clarity
  • Possesses a high level of personal and shared accountability and proven capability to anticipate opportunities and challenges
  • Demonstrated satisfactory work performance and attendance history

Funding for this role is provided in part by the Canada Summer Jobs Program. In order to be eligible, candidates must be between 15-30 years of age at the start of the funded position (anticipated June 2024); be a Canadian Citizen, permanent resident, or someone to whom Refugee Status has been granted/conferred; have a valid SIN. Note that international students, and those who are here in Canada on a work, youth, or visitor visa/permit are not eligible for the program.
