The starting salary range for this position is $52,572 to $57,447 annually. The full salary range for this position is $52,572 to $64,662 annually, as well as a competitive benefits package and a defined benefit pension

This is a full-time, permanent position (Hybrid, three days in-office).

About the Events Coordinator

The Events Coordinator is a valuable member of the Foundation's Community Partnerships & Events team.

This role involves helping to build the Foundation's presence in our community through supporting fundraising events that drive the Foundation's strategic priorities to increase revenue, build capacity and expand our donor base through broader community engagement.

Under the leadership of the Director, the Events Coordinator will support the planning, execution and delivery of the Foundation's flagship and partnership events. The Coordinator will also provide support and guidance to all community fundraisers that host events benefitting The Royal. Additionally, the Coordinator will aid in the execution of events initiated by the Philanthropy team to acquire, cultivate, and steward donors across all segments and constituent types.

As the Events Coordinator they boast a background in event management, non-profit management, business administration, or a related discipline. They have knowledge of the changing non-profit landscape and keep up to date on opportunities and challenges as they relate to our field of work.

Key Areas of Responsibility

Community Fundraising & Events

  • Support and steward a pipeline of 30-50 community fundraisers.
  • Successfully execute tasks for flagship fundraising events, such as RSVP tracking, invoice management, contract execution, permit applications, staff/volunteer coordination, collateral printing, website updates, online auction monitoring, etc.
  • Support community-led fundraisers by assisting with their planning and promotion, representing the
  • Foundation at events as needed, ensuring adherence to relevant policies, and supporting their recognition and stewardship.
  • Support the successful execution of all key Foundation events, including fundraising, cultivation, stewardship, and volunteer events, by providing event production knowledge and skills.
  • Provide ongoing administrative support to sponsors, ensuring fulfillment of benefits and demonstration of impact.
  • Provide volunteer support to fundraising committees including: keeping minutes, scheduling meetings, preparing and distributing agendas and materials, updating prospect lists etc.
  • Coordinate Foundation volunteers to support community fundraisers where appropriate.

Strategy, Planning & Operations

  • Collaborate with the Director and Community Partnerships & Events team to align fundraising and awareness event strategies with the Foundation's strategic, operational and campaign goals.

  • Foundation's overall strategic and operating plans.
  • Collaborate with the Operations team to ensure the accurate and timely input and maintenance of data for donations and gifts.
  • Input and maintain data pertaining to prospects and supporters, proposals, contact information, actions/moves, call reports, etc.
  • Assist in the continuous analysis of the Community Partnerships & Events' team performance, including flagship events. Extract meaningful insights from the data and bring forward recommendations for improvement.

Collaboration & People

  • Work with the Community Partnerships & Events team to provide assistance, share insights, and foster a collaborative work environment.
  • Collaborate with other departments within the Foundation, hospital, and research institute, as well as external partners and community organizations, to ensure seamless coordination of event planning, execution, and community fundraising efforts, maintaining a cohesive message across all initiatives.
  • Support the development and maintenance of relationships with donors, partners, sponsors, volunteers, and vendors to enhance the Foundation's mission.

Other Duties

  • Adhere to relevant regulations, privacy policies, charitable tax laws, CRA guidelines and ethical industry practices.
  • Uphold patient/client safety practices, adhere to The Royal's Respectful Workplace policy, and embody the Foundation's Culture Code, fostering a respectful and inclusive work environment.
  • Provide assistance with other duties and responsibilities as assigned by the Director or President to contribute to the Foundation's success.

About You

Qualifications & Key Competencies

  • Relevant post-secondary education with 1-3 years' experience. Demonstrated execution of event critical paths.
  • Ability to prioritize work, yet flexible to respond to changing demands. Highly organized and detail-oriented.
  • Self-motivated with demonstrated ability to work collaboratively across teams. Excellent written and verbal communication skills.
  • Ability to work flexible hours, evenings and weekends as required to accommodate event schedules.
  • Proficiency in Microsoft Office including Word, Excel and PowerPoint.

The following will be considered assets:

  • Experience supporting volunteer committees.
  • Experience using Raiser's Edge or an equivalent fundraising database.
  • Experience using the fundraising platforms: TeamRaiser, CrowdChange, Givergy.
  • Knowledge of the Canadian charitable sector, including fundraising best practices and new emerging trends.Bilingualism (English/French).
