Executive Assistant - Alberta Centre to End Trafficking in Persons (ACETIP)The Alberta Centre to End Trafficking in Persons (ACETIP) is a not-for-profit organization that works in collaboration with community-based organizations and in partnership with the Ministry of Public Safety and Emergency Services to ensure the most effective supports are available for the victims and survivors of human trafficking. ACETIP works with law enforcement, community organizations and social service providers to provide anti-human trafficking education and awareness, and maintain engagement within the community in order to assist victims and survivors in a trauma-informed, inclusive, and culturally appropriate manner. It is responsible for spearheading provincial human trafficking related strategies, initiatives, partnerships, collaborations, and capacity-building activities. The Executive Assistant will report to the Executive Director and, additionally, will support the Co-Chairs and Board of Directors of ACETIP.
The Executive Assistant will support the Executive Director and other members by handling a variety of tasks in order to ensure that all interaction between the organization and others are positive and productive. Duties will include but not be limited to:
Representing the ACETIP in a professional and congenial manner in person, in telephone conversations, and in written correspondence;
Supporting the Executive Director including calendar management (setting up meetings, sending invitations to external stakeholders), file management and organization, composing and reviewing documents and email management;
Supporting the Co-Chairs including preparation and distribution of agendas and Board packages, minute taking, management of Board documents, coordination of meetings, scheduling, logistics and technology needs;
Providing documentation management including maintaining and organizing project documents for accessibility by team members;
Scheduling and communicating to coordinate meetings, track project milestones; facilitate clear communication among team members and stakeholders;
Managing resources and budget by coordinating resources, personnel, materials, and assisting with budget tracking for project needs;
Documenting projects by maintaining accurate records including project plans, progress reports, and meeting minutes;
Handling logistics related to project activities;
Moderating and facilitating virtual platforms (Zoom / Teams)
Providing administrative support including data entry, procurement, and ad-hoc duties as needed.
Skills and Qualifications
A minimum of five years of relevant experience, in progressively more responsible administrative positions;
Demonstrated experience in supporting executive management;
Experience in handling confidential and sensitive matters;
Knowledge of the proper form of business letters and business English;
Strong ability to prioritize and work flexibly in high-pressure, collaborative environments;
Exceptional attention to detail, time management, organization and planning;
Excellent interpersonal skills with a proven ability to work effectively with diverse partners;
Ability to confidently represent the ACETIP both internally and externally;
Proficient in using the Microsoft suite of products (including Word, Excel and PowerPoint) and video call platforms including Zoom and Microsoft Teams.
This is a full-time, one-year contract position with the potential of extension. It is 37.5 hours/week with hybrid work routines as an option. Salary range: $62,000 – $70,000
