These properties offer outright ownership of beautiful pre-manufactured seasonal recreational cottages.Our resorts have full facilities including community areas, swimming pools, splash pads, multi-sports courts, playgrounds and beaches. ROLE OF THE PROPERTY MANAGER Property Manager Position Overview The Property Manager role is designed to ensure the CorporateObjectives of maximizing profitability and Owner, Guest & Staff happiness for their resort by following the 3V Philosophy of Visibility, Velocity and Value. The Property Manager is a strong safety driver, profit focused and people oriented by providing a clean, safe, well-maintained resort. A Great Blue Resorts Property Manageris responsible for overseeing all installation, repair and upkeep operations of the Resorts facilities and maintain the resort to a clean, safe and well-maintained standard which enhances owner and guest enjoyment. You will be the one to ensure that your direct reports have the best physical resources, training, and supervision available to complete their daily, weekly, and monthly duties on time and within budget while providing exceptional customer service. A strong Property Manager will have a solid understanding of water treatment, pool maintenance, plumbing and electrical systems. They will be well-versed in all maintenance process and health and safety regulations. The ideal candidate will also have aptitude in undertaking administrative tasks such as managing work orders, purchase orders, and budgets etc. The goal is to ensure the resort facilities are well-cared for and adequate to support the resorts' business operations. Skills The Property Manager must possess strong leadership skills and a sound know ledge of all resort systems including but not limited to water, septic and electrical systems. Other strength/requirements affiliated with the position include CPO designation (Certified Pool Operator), Propane operator certification, boaters card/license, a general knowledge of HVAC, electrical, carpentry, plumbing, environmental regulations, and safe food handling requirements. A firm understanding of Occupational Health and Safety Legislation and Fire safety legislation is also a requirement of the role. Responsibilities/ Accountabilities The Property Manager role is to oversee the day to day maintenance of the resort and its systems, in a cost-effective manner, leading to a positive customer experience. Facilities management responsibilities include but are not limited to: HAPPINESS Survey Management Manage the weekly Rental Survey results Manage Owner Survey results Owner and Guest relationship management PROPERTY MAINTENANCE Administration Prepare and process all invoices using the Purchase Order system and record on Excel spreadsheet for future reference and follow up. Lead all maintenance, marina and pool staff completing regular performance reviews with recommendations for improvement and career advancement within Great Blue Resorts. Attend daily 9:15 managers meetings, actively participating in discussions concerning the resort focusing on positive resolutions and solutions to improve the overall customer experience. Review all WHIMIS, Occupational Health and Safety and any additional specific safety regulations with maintenance staff prior to completing maintenance requests which require a specific skill set. Capital improvement management Expense management Manage maintenance jobs for aftersales Work with 3rd party contractors to manage installs Pontoon boat, fishing boat maintenance and motors Safety Kits, life jackets Boathouse maintenance Dock – install, remove, numbering, safety inspections weekly, repair as required Carefree management inspections Compliance Responsible for training, managing and complying with all Health & Safety, local and governmental requirements. Compliance of permits Resort Safety Plan Emergency management Development Support Electrical Systems Follow a daily checklist to proactively manage all resort electrical systems to maintain uninterrupted service to the facility and in turn maximize customer satisfaction. Follow up immediately on all reported electrical issues referring the matter to a certified electrician for resolution when required. Advise front desk of the problem and the approximate time for resolution and communicate to the customers affected. After resolution of the problem report back to front desk and have the resolution relayed back to the customer. Work hand in hand with electrical contractors to cost effectively repair and upgrade systems, when necessary, in accordance with Electrical Safety Authority (ESA) regulations. Record keeping - Monthly meter readings kept and maintain hydro records Equipment Management Maintain the safety and on-going maintenance of all resort and maintenance equipment Complete all scheduled maintenance of Est at e home rent al poo l according to MEX maintenance schedule. Perform daily checks in winter according to the winter home inspection schedule. Immediately asses and resolve all water, sewer and electrical interruptions with reporting of issue and resolution timing to reception and customer. Follow up with customer upon resolution of issue. Gates maintenance Grounds maintenance Oversee all grass cutting, gardening and snow removal, within the resort, to maintain a positive customer experience. Perform twice daily checks of the resort during peak season to identify and rectify areas of concern. Follow up to make sure all garbage receptacles are emptied daily and cleaned to reduce odors and insects. Set regular garbage dumpster and recycling bin pickups to prevent odors, animal and insect issues as well as visual distractions in order to improve the overall appearance of the park. Off season Off Season maintenance – snow loads, security, plowing Fences Property Closing - Closing and opening of Resort Roads Storm management Marina, boats and rental equipment Follow the set maintenance schedule for all rental boats and motors with immediate follow up and repair to reduce downtime. Lead marina staff to ensure all rental equipment is being checked during sign out and return and perform all necessary repairs reporting any damages to the front desk for follow up with customer. Oversee fuel safety practices, measurement of main fuel tank and recording of levels for usage and re-order timing. Oversee boat pump out system to maintain reliability, safety and disposal of sewage. Oversee maintenance and safety of all docks, dock equipment and seaweed levels performing routine maintenance as required. Maintenance of canoes, kayaks, standup paddleboards Oversee the proper completion of rental agreements and paperwork in order to provide a positive customer experience and accurate recording and collection of proper fees. Ensure prompt response to all gas calls ensuring all safety and environmental protocols are followed. Oversee safety protocols and licensing for fuel tank and follow up with fuel supply contractor for regular delivery of fuel. Provide training to all marina staff around fuel and pump out services along with proper boat and motor inspection and other marina duties as assigned. Owner Billable workorders Ensure Owners are provided with billable price lists Local contractor information provided to owners for work outside of Property Manager scope of work all job requests from owners are performed Playground Pool and Splash Pad Obtain CPO (Certified Pool Operator) certification to oversee the daily operation of the swimming pool and splash pad. Reporting opening and closing of the pool in spring and fall to the ministry as re quired. Follow all current regulations around water quality testing and recording, staffing of lifeguards (if required based on July 2018 regulations), Emergency response requirements and safety guidelines, post and review all safety and rule signage. Oversee all daily, weekly, monthly, quarterly and annual pool maintenance schedules for cleaning, pumping and filter systems. Oversee opening and closing of pool and splash pad in spring and winter as required. Proactively review all water quality regulation changes and safety regulations. Lead Lifeguard and pool staff to ensure adherence to regulations set out in new legislation from July 2018. Follow up daily with pool staff to review proper recording of water quality. Obtain propane pumping certification and respond ASAP to all customer propane fill requests ensuring all pro pane safety protocols are followed. Arrange and follow up on all propane fill and service contracts with designated propane supplier to prevent any serv ice interruptions. Complete and follow up on all application/renewals of propane certification and licensing. Property Maintenance Program - MEX Review Review all new and outstanding MEX maintenance work orders throughout the day. Complete comment section explaining plan of action and time to complete in order to keep everyone involved as to the progress of the resolution. Once complete, comment and close each work order to ensure proper future follow up on future related issues Review and present MEX maintenance reports to General Manager during one on one meetings. Respond to any report requests from department managers to assist with identifying future problems which could affect the customer experience. Rental Houses maintenance Perform weekly, monthly, quarterly and annual maintenance on all long-term rental units in accordance with MEX electronic maintenance schedule. Including but not limited to electrical, sewage and water systems. Chimney cleaning, eaves trough cleaning, snow removal and grass cutting. Perform all required maintenance based on tenant feedback and requests in a timely manner. Rental Unit maintenance Perform regular inspections of all seasonal rental units to confirm all water, electrical and septic systems are working properly. Visually inspect exterior and interior of each unit and perform any necessary repairs. Properly shut down and winterize all seasonal rental units in accordance with winterization checklist. Check all BBQ propane levels and overall functioning of BBQs to maximize the customer's experience. Visually inspect all lawn furniture, picnic tables and fire rings to confirm cleanliness and functionality. Follow up on any and all requests from restaurant staff to check or repair any new or outstanding issues with water, electrical, sewer or restaurant equipment. Refer to specialists when required for immediate resolution. Security Cameras Septic Systems Weekly records of usage Ensure the day to day smooth operation of numerous resort septic systems including pump maintenance, distribution of waste to the septic field, and daily volume recording. Examination and maintenance of all septic tanks and pump chambers to ensure they are leak proof and operating properly. (see resort septic layout) Immediate follow up and resolution to any and all ground water reports to ensure all ministry regulated clean up procedures are followed, and long-term solutions are put in place to prevent a repeat of the issue. Site prep Prepare all vacant sites for new units by leveling lot, upgrading water, electrical and sewer where required. Site all new lots with proper measurement and staking following all required setbacks according to site plan. Install all electrical, sewer and water services for all new sites. Following all requirements outlined in the permits obtained from the designated authority. Procure all necessary equipment and ensure proper safety protocols are reviewed and in place prior to use of the equipment. Special projects Set up and complete all special projects making sure all applicable permits are obtained recorded and filed for future follow up. Prepare and submit budget s for every project. Follow up and lead all contractors to keep the project on time and on budget. Arrange all necessary equipment, in a timely manner, in order to keep the project on time. Follow up and arrange for any safety equipment required for staff to safely complete the project. Submit purchase order for approval for the project prior to starting the project. Follow up on project completion and report any variances to General Manager for review Team management Payroll submission Vacation, Stat and Lieu day management Training Coaching Performance Correction Evaluation Water supply and systems Inspect and record chlorine and turbidity readings for resort water systems and report daily, prior to 11 a.m., to the designated resort water quality authority. Water testing management as required by local Health Department Respond immediately to any and all water supply or water quality customer concerns. Carefully asses the cause and resolve the issue making sure the front desk and the customer are fully aware of interruption of water supply and time frame for repair. Once the resolution and repair are complete follow up with front desk and the customer to advise of restoration of service. Inspect and perform preventative maintenance on all water pumps and visible water lines/faucets to minimize downtime. Perform cost effective repairs when necessary. Permit to Take Water management Watercraft maintenance Maintenance and management of canoes, kayaks, stand up paddleboards, fishing boats and pontoon boats. Welcome Centre building maintenance Follow up on any and all requests from restaurant staff to check or repair any new or outstanding issues with water, electrical, sewer or restaurant equipment. Refer to specialists when required for immediate resolution.
