We're looking for a Strategic Operations Manager who thrives in a fast-paced environment, excels at creating structure from chaos, and knows how to keep the engine of a business running efficiently behind the scenes. About the Role

As our Strategic Operations Manager, you'll be the go-to person for everything from coordinating client touchpoints and marketing initiatives to managing systems and executing events. You will be the glue that holds the team together and the calm in the storm. This is a fast-moving role with lots of variety-and you'll play a key part in helping us scale with consistency, excellence, and care.

Key Responsibilities

Client & Event Coordination
Plan and manage local charity and client appreciation events
Build a year-long calendar of events, social media campaigns, and client touchpoints
Deliver and manage client gifts, birthday/anniversary programs, and surprise experiences
Draft and distribute monthly email newsletters
Client deliveries and drop offs & lockbox installs, sold riders at listings, etc.

Marketing & Listings Support
Oversee social media scheduling and content planning
Write property descriptions, schedule photographers, stagers, and cleaners, and prepare listing paperwork and drafting listings to the MLS
Coordinate listing logistics: signage, lockboxes, riders, feature sheets, and print materials
Book and coordinate showings, inspections, and liaise with lawyers, brokers, etc.

Operations & CRM Management
Manage our CRM database: tagging, clean-up, automations, and lifecycle tracking
Set up systems for post-showing feedback and past client follow-ups
Create and maintain standard operating procedures (SOPs)
Prepare seller reports on valuable metrics and clients referral sources

Tech-savvy (comfortable with tools like Instagram, Canva, Flodesk, and Follow Up Boss)
A clear communicator, both written and verbal
Loyal, discreet, and values-driven
Energized by supporting others and making things happen behind the scenes

Location:

Hybrid - working between home and our office at 304 Brock St. South, Whitby

Availability Monday to Friday, with occasional evening or weekend support for social media, events, etc.

Monday to Friday
Weekends as needed
