Responsible to: Senior Manager - Housing Operations

Hours: F/T 40 hrs

Purpose:

In conjunction with the Senior Manager - Housing Operations, the Sunset Towers Operations Manager provides coordination and oversight to the operations and property management of Sunset Towers.

Key Responsibilities

Operations and Property Management

Provide oversight for Sunset Towers and its operations as directed by the Senior Manager - Housing operations in compliance with all MTR policies, safety standards, operating agreements, insurances and regulatory requirements, working closely with the MTR administration and maintenance specialists.
Responsible for overall management of the Sunset towers site, in consultation with the Sr Manager - Housing Operations
Support the Maintenance Coordinators as required to work with building trades, partners and site managers to support regular operations
Participate and lead in operational reviews for Sunset Towers
Ensure budget compliance for the site and assist site building managers
Work out of the Sunset site to attend to site responsibilities and building a solid Sunset towers site team, working cohesively together.
Provide consultation and input regarding workflow at the site.
In conjunction with the Senior Ops manager and Finance, review expenditures in accordance with ongoing contracts.
Along with maintenance Specialist, provide oversight of contracts for extraordinary work, replacement and upgrades
Maintain compliance at Sunset towers with the Residential Tenancy Act (RTA), the Society Act, Privacy Act etc.
Assist managers in dealing with difficult tenant situations including correspondence, mediation, transfers, evictions, arbitration hearings, etc. (in accordance with our policies)
Stay apprised of sector trends, BC Housing policy, procedure and regulations
Ensure that annual suite inspections and follow-up are completed
Be available via cell phone to respond to and deal with site emergencies or as required.

Sunset Towers Administration Process leadership

Ensure all MTR Administration policies and procedures are followed at Sunset Towers
Ensure that annual rent reviews and required follow-up are completed for your site.
Along with site Administration team ensure new tenants are entered correctly into all relevant systems and data bases
Ensure that tenant files are complete, paperwork up to date and managers trained to keep documentation complete.
Work with the team in resolving difficult tenant situations relating to rent collection and annual reviews (in accordance with our policies)
Act as a liaison, as directed, with BC Housing, the RTB and/or other operating partners regarding annual rent review, rent collection, and LEM rent structures for your site.
Represent MTR In Sunset Towers in all arbitrations, legal cases and RTB communications involving Sunset tenants.
In partnership with the Administration Specialist, understand all aspects of MTR Financial software and develop a good understanding of the software. Develop a good understanding of the tool usage at Sunset towers
In partnership with the Administration Specialist, support in training incoming and existing admin managers at sunset towers on MTR Financial software (currently Arcori) use
Ensure monthly rent reconciliation is completed at the site.
Assist managers, as required, with rent calculations and troubleshooting with support from Administration Specialist.

Sunset Towers Maintenance Processes leadership

Lead the team of Maintenance coordinators and the maintenance team at sunset Towers.
Work with MTR Facilities Specialist to recommend annual capital maintenance and improvement needs for Sunset Towers
Organize and participate in annual site and suite inspections with maintenance coordinators to establish needed repairs and preventative maintenance
Ensure annual service contracts are properly secured and executed
Track annual maintenance functions with Sunset Towers maintenance coordinators and offer assistance as required including a schedule of such initiatives
Plan and conduct annual Health & Safety inspections of Sunset Towers, creating and maintaining reports for each, leading the Sunset maintenance coordinators to do the same.

Sunset Towers Community Engagement Leadership

Lead and plan Sunset towers community engagement goals, providing leadership to the Community engagement associates.
Along with team, plan events, celebrations, food programs, initiatives, community building and a sense of wellbeing in the Sunset towers community.
Provide leadership to the team and oversee More Than a Store at Sunset towers and ensure best practices and safety standards.

Knowledge and Skills

Strong team leader with demonstrated administrative, maintenance and community engagement skills
Excellent interpersonal, oral and written communication skills and ability to deal with a broad range of associates, professionals and tenants
Good mediation and conflict resolution skills
Working knowledge of relevant federal and provincial housing programs and funding requirements including property management policies and procedures, operating agreements, budgets and reporting requirements. Experience of managing properties and property management.
Ability to work in a team environment, resolving conflicts and maintaining excellent rapport with all stakeholders and functional teams.
Thorough knowledge of building structures and systems
Knowledge of current social issues such as homelessness, addictions, mental health and poverty is an asset
Valid BC Driver's License and a reliable vehicle for use in performance of duties is an asset

Qualifications

Preferred university level education and undergraduate degree.
Minimum three years' experience in the Property Management/Real Estate field or an equivalent of education and experience
Professional Property Management certification from an accredited institution is an asset
Good understanding of MS Office tools and ability to learn and use new software applications.
