We are looking for an Administrator to join our Transcription Department based in Whitby. Working hours are 11 AM - 7 PM, Monday to Friday. Duties include (full training provided):

Take transcript orders and send confirmation for same
Assign transcript orders to typists appropriately according to current workloads and ensure confirmation of same
Quality-check transcripts to ensure they meet our guidelines
Communicate & coordinate with colleagues to ensure deadlines are met
Track transcript orders by completing order form & entering data into company trackers
Respond to client inquiries (email or telephone) politely, professionally, and in a timely manner
Prepare & organize for following day to ensure you are aware of approaching deadlines
Supports team by performing tasks related to organization and strong communication
Maintains customer confidence and protects operations by keeping information confidential
Any other general office and client service duties assigned

Successful candidates demonstrate the following key traits:

Experience producing or managing legal transcripts or related legal administration experience serving as a legal assistant, clerk or paralegal
Capable of multi-tasking
Demonstrated ability to manage, track and organize workflow
Strong listening and comprehension skills
Client-oriented and demonstrates professionalism at all times
Knowledge of appropriate software including: Microsoft Word, Excel, Outlook, and Adobe Acrobat
