We are currently looking for an Air/Ocean Import Coordinator to join our team. We are looking for a motivated and passionate candidate to become part of our high paced, professional team.

Position Overview:

The Air/Ocean Import Coordinator is responsible for managing the end-to-end coordination of international import shipments, ensuring timely customs clearance, accurate documentation, and smooth communication with clients and carriers. This role requires strong organizational skills, attention to detail, and a solid understanding of freight forwarding practices, especially in relation to air and ocean imports. The coordinator will work closely with customs brokers, airlines, steamship lines, trucking partners, and internal departments to ensure compliance and customer satisfaction.

Key Responsibilities:

  • Coordinate the full cycle of air and ocean import shipments from pre-alert to final delivery, ensuring timely and accurate execution
  • Receive, review, and process import documentation, including bills of lading, air waybills, commercial invoices, packing lists, and certificates of origin
  • Communicate with overseas agents, carriers, and suppliers to confirm shipment details, resolve discrepancies, and ensure proper documentation is received
  • Submit documentation to customs brokers for clearance and follow up to ensure timely release of goods
  • Monitor shipment status through carrier portals and freight software; proactively notify clients of shipment updates, delays, or issues
  • Arrange final-mile delivery with trucking providers, warehouses, or courier services, coordinating appointments and ensuring timely delivery
  • Ensure accurate data entry in logistics and ERP systems; update shipment records, PODs, and client profiles as needed
  • Process billing and invoicing for assigned shipments, verifying accuracy of charges and supporting documentation
  • Coordinate with internal teams such as accounting, sales, and customer service to resolve billing questions or shipment concerns
  • Maintain compliance with CBSA regulations, Incoterms, and company SOPs for air and ocean imports
  • Assist in filing claims for cargo damage, delays, or shortages and provide necessary documentation for resolution
  • Respond promptly to client inquiries and provide excellent service throughout the shipment lifecycle
  • Support periodic internal audits by maintaining clear, complete, and organized shipment records
  • Perform additional duties or projects as assigned.

Preferred Qualifications

  • 2-4 years of experience in international air and ocean import coordination within a freight forwarding or logistics environment
  • Strong knowledge of Canadian import procedures, documentation, Incoterms, and CBSA customs processes, IATA, and IMO standards.
  • Proficient in the use of logistics and supply chain management software, with strong Microsoft Office skills (particularly Excel and Outlook).
  • Excellent communication skills and the ability to manage multiple shipments and tasks simultaneously
  • Detail-oriented, well-organized, and able to work both independently and in a team environment
  • Post-secondary education in logistics, international trade, or supply chain management preferred
  • Familiarity with bonded shipments, HS codes, and trade agreements (e.g., CUSMA) is an asset
  • Fluency in English required; other languages considered an asset
  • Professional certifications such as CIFFA, IATA, or Certified Export Specialist are considered assets.
