Our client is looking to add an Operations Manager to their team in London, Ont.

Job Requirements:

Experience in sign construction or coordination of similar projects.

Understanding large sign construction or similar assembly and install type projects is an asset.

Understanding of logistics and project management for multi-step projects.

Solid knowledge of Google Business Suite, and apps such as Docs, Sheets, and Calendar and/or a willingness to learn. Must be comfortable with daily computer use.

Excellent communication and organizational skills.

Strong ability to manage teams and stakeholders

Ability to work independently and still meet project timelines.

Effective time management and logical decision-making.

Capacity to motivate, lead and boost the morale of the teams.

Capacity to handle schedule pressures and aggressive timelines.

Must have a driver's license and a willingness to travel to job sites as required.

Strong interpersonal communication skills; ability to interact professionally with customers.

Good knowledge of various types of signs including vinyl, digital graphics, electrical signs including channel letters and pylons.

Must exhibit a professional demeanor/appearance and have an excellent attendance record

Position Summary:

The Operations Manager is responsible for managing overall project and installation success for 'Q2: Fabrication & Installation' production jobs, including project planning, timelines, production scheduling, resource allocation, vendor coordination, and design layouts, while providing technical direction and ensuring compliance with quality standards to exceed customer expectations. This role serves as the primary client contact throughout the project lifecycle, offering updates and addressing concerns to ensure client satisfaction.

Key responsibilities encompass managing communication among internal teams (sales, design, production, fabrication, and installation), creating detailed project plans, coordinating site surveys and compliance, and monitoring project budgets. The Operations Manager also supports team collaboration, problem-solving, and documentation management to maintain quality standards and project efficiency, while overseeing health and safety initiatives, IT coordination, and design support for sales initiatives.

Key Responsibilities:

Communication

Serve as the primary point of contact for clients throughout the project lifecycle, from the moment the sale is secured to project completion.

Provide regular updates on project progress, address concerns, and ensure client satisfaction.

Monitor progress of the projects and/or installations and hold status meetings with sub-teams and contractors.

Serve as a point of contact between team members, stakeholders, and upper management in relation to projects and installations.

Facilitate meetings with management.

Ensure all team members are informed of project updates, changes, and statuses.

Project Planning & Scheduling

Assist in the creation of detailed project plans, timelines, and schedules.

Coordinate project tasks and timelines to ensure deadlines are met.

Lead and manage large scope signage projects and all installation jobs from concept to completion.

Coordinate site surveys, permitting, and approvals as necessary

Plan project timelines and milestones, work within budgets, and identify resources needed.

Manage Corebridge (company system) on a daily basis to ensure accuracy, and organization.

Manage Installation Schedule & Google Calendar in connection with demands and communicate scheduling with clients, contractors and vendors.

Coordinate production schedules with internal departments, including design, production, fabrication, and installation. Including maintaining production logs for fabrication and the CNC

Proactively develop workflow and process improvements for review and implementation

Vendor & Supplier Coordination

Source materials and coordinate with vendors and subcontractors to ensure quality standards are met and timely delivery of products.

Budget Management

Assist in tracking project costs to ensure budgets are maintained.

Monitor costs to keep projects on budget and maximize profit.

Documentation & Compliance

Establish file organization and protocol for all members of the team, train and implement

Maintain project files, ensuring all necessary documentation, including contracts, permits, and designs, are properly filed and accessible.

Ensure projects comply with local regulations, safety standards, and client requirements.

Periodic inspection of work, and job sites to monitor project progress and quality standards.

Review and approve documentation prepared for/by the client

Team Collaboration

Work closely with the sales, design, production and installations teams to ensure alignment on project goals.

Manage multiple projects simultaneously while leading the production team.

Support the sales team by developing proposal aides including conceptual drawings, coordinating the outsourcing of design work, delegating design tasks for permits, and the creation of fabrication design files for CNC cutting, channel bending, and more.

Problem Solving

Proactively identify potential issues or delays and work with teams to develop solutions.

Assist in resolving any challenges related to design, production or installation.

Develop contingency plans and resolve issues as they arise.

Other Duties:

Coordinate Operational Aspects: Oversee health and safety initiatives and rep, point of contact for IT coordination with vendor, time-off requests and calendar, and lead special projects as assigned by the Franchisee.

Design Support: Collaborate with sales staff on conceptual design for quoting purposes. Once designs are approved, delegate the production setup to other designers, either in-house or outsourced.
