Job Summary

The Events Specialist reports to the Director of Marketing & Communications and is responsible for the execution of fundraising events and Foundation stewardship events and activities. The Specialist also assists the Director in executing strategic communication and marketing plans, through event work, to advance the Foundation's strategic directives and meet financial, marketing and stewardship goals.

Core Responsibilities

Events

  • Coordinate Foundation-led fundraising events, including the oversight of annual budget, guest recruitment and communication, event registration, production, and management of contractors and volunteers.
  • Design and co-ordinate fundraising activities leading up to and at Foundation-led events.
  • Conceive of and carry out new events to achieve organizational goals.
  • Oversee and empower event committee(s).
  • Provide support to approved third-party events to ensure events hosts have the necessary branded collateral materials and activation opportunities to meet fundraising commitment.
  • Managing and promote 50/50 raffle program.
  • In collaboration with the Director of Marketing and Communications, ensure events are marketed on brand and targeted to the right demographics.
  • Organize community promotion activities that improve Foundation brand awareness and donor prospecting.
  • Oversee the logistics and creative details of all Foundation cultivation, recognition and stewardship events in consultation with the other members of the donor relations team.

Event administration

  • Prepare and report on portfolio annual budgets.
  • Maintain detailed records in Raiser's Edge of all event registrations, donor contacts, history and moves management (in association with the fundraising team).
  • Analyze and assess the event against strategic goals and key metrics and make recommendations.
  • Provide stakeholders brand and marketing assets to ensure brand guidelines are maintained.
  • Liaise with vendors on event and communications-related items as needed for event execution.

Education & experience

  • An undergraduate degree or diploma in events marketing, marketing, or business, or an equivalent combination of education and experience.
  • 4+ years of experience in event planning, marketing, or fundraising.
  • Courses or a certificate in fundraising an asset.
  • Experience in social media marketing, event planning and cultivation and recognition events.
  • Creative design experience would be an asset.

  • Solid understanding of basic marketing and fundraising principles.
  • Organized, systematic, with the ability to manage multiple projects, deadlines and shifting priorities with minimal supervision.

  • Creativity, curiosity, and an enthusiasm for meeting and working with a wide range of individuals.
  • Exceptional interpersonal skills including good judgment, diplomacy, tact and a collegial, collaborative style.
  • A can-do attitude with the flexibility to work weekends and evenings as required.
  • Ability to collaborate and work effectively as part of team.
  • High customer service orientation.
  • Public presentation skills, able to perform in the "public arena".
  • Strong ability to think strategically, critically and creatively while identifying and leveraging opportunity.
  • An ability to write well and persuasively, including superior editing and proofreading skills.
  • Strong computer skills with proficiency with Microsoft Office Suite.
  • Knowledge of Mail Chimp or other channels for deploying emails and e-materials.
  • Valid driver's license.
