The Business Development & Operations Assistant plays a key hybrid role across business development, executive support, and internal operations. You'll support outreach and lead generation, manage projects and communications, and help maintain seamless day-to-day operations. This role is ideal for a digital-first native who is proactive, organized, detail-oriented, and excited to contribute to a fast-growing B2B marketing agency.
IMPORTANT! Only candidates available for in-person, hybrid work in the Greater Vancouver Area will be considered.
KEY RESPONSIBILITIES:
Business Development & Client Engagement
- Research prospective clients, strategic partners, and market opportunities within the Microsoft Partner ecosystem and B2B tech space
- Support lead generation through LinkedIn, email outreach, social engagement, and CRM database management
- Assist in creating proposals, case studies, client-facing presentations, and business development materials
- Maintain accurate, up-to-date prospect and client information in HubSpot and related tools
- Coordinate meetings, onboarding, and communication touchpoints for new and prospective clients
- Monitor industry trends, competitor activities, and market shifts to inform business development strategy
- Help manage client satisfaction initiatives, including tracking feedback and optimizing engagement
Executive & Administrative Support
- Manage executive calendars, appointments, and meeting coordination-including occasional personal scheduling
- Prepare and format correspondence, memos, presentations, and internal documents with accuracy and attention to detail
- Organize and maintain filing systems, records, documentation, and supplies
- Handle confidential and sensitive information with professionalism and discretion
Content, Research & Communication
- Write and proof clear, professional business communications aligned with Maven's tone, voice, and brand standards
- Contribute to social media posts, newsletters, website content, and marketing collateral
- Support the development of testimonials, case studies, and success stories for marketing and business development
- Conduct research to support strategic insights, content planning, and client initiatives
- Gather competitive intelligence and support the development of thought leadership and industry insights
Project & Operations Coordination
- Track timelines, assets, and deliverables across internal and client-facing projects
- Support planning and execution of webinars, events, and external conferences
- Help manage ongoing initiatives, collaborative assets, client databases, and task lists
- Maintain internal resources such as SharePoint sites, project documentation, and procedures
- Participate in internal and external team calls on a daily, weekly, bi-weekly, and monthly basis
Technology & Systems Support
- Maintain accurate data across CRM, project management, and reporting tools
- Support the implementation and adoption of new technologies or processes to improve efficiency
- Assist in optimizing and maintaining business development systems such as HubSpot, LinkedIn Sales Navigator, and Microsoft 365
QUALIFICATIONS:
Required:
- Degree or diploma in Business Administration, Marketing, Communications, or equivalent practical experience
- At least 2 years of experience in a business development, administrative, or operations support role
- Strong written and verbal communication skills in English, with an ability to write clearly and professionally
- Excellent organizational and time-management skills with a strong attention to detail
- Proficiency with Microsoft 365 (Outlook, Excel, Word, PowerPoint, Teams, SharePoint, OneNote, Copilot)
- Ability to work independently and manage multiple projects with shifting priorities
- Professional demeanor and discretion when handling confidential information
Preferred:
- Experience in a marketing agency or professional services environment
- Familiarity with HubSpot CRM and marketing automation tools
- Experience with LinkedIn Sales Navigator and social selling
- Understanding of the Microsoft Partner ecosystem or B2B technology landscape
- Research, analysis, and content development capabilities

COMPENSATION
The annual total compensation package for this role ranges from CAD 48,000 to CAD 62,000. This comprehensive package includes a competitive base salary, performance-based bonuses, and a robust benefits plan.
