We're looking for a Production and Inbound Logistics Coordinator to manage timelines, support quality control, and keep vendors and internal teams in sync to ensure smooth, on-time delivery.
This is a temporary maternity leave coverage position with an assignment length of 12-14 months, with the possibility of extension.
Key Responsibilities
Vendor & Production Management
- Manage all manufacturing partner relationships, including all daily communications.
- Monitor the full production lifecycle-sampling, approvals, production status, and quality checks.
- Monitor all stages of outsourced production-from sample approval to final shipment (including all SMS, PP and TOP samples), ensuring timelines and quality standards are met.
- Organize and maintain the sample library with clear labeling and tracking systems.
- Align vendor production capacity with seasonal demand and order volumes.
- Manage raw material forecasting and procurement.
- Negotiate production lead times, costs, and capacity bookings.
- Perform regular production follow-ups to ensure adherence to timelines and technical specifications.
- Ensure accurate FOB costing data is up-to-date and accessible.
- Create and manage purchase orders; monitor fulfillment to ensure deadlines are met.
Quality & Compliance Oversight
- Coordinate with factory QA/QC teams to ensure adherence to brand standards and compliance requirements.
- Review QC reports from vendors and escalate issues promptly.
- Resolve quality issues and implement corrective actions in collaboration with vendors.
- Ensure vendor compliance with ethical sourcing, labor laws, and sustainability requirements.
- Schedule and oversee all 3rd party QC
- Develop QC requirements per purchase order and ensure alignment with product specifications.
Inbound Logistics Management
- Plan, track, and manage the inbound movement of finished goods from vendor locations to warehouses or distribution centers.
- Coordinate with freight forwarders, customs brokers, and shipping agents for timely import/export clearance.
- Maintain shipping documentation (e.g., commercial invoices, packing lists, bill of lading) and ensure proper record-keeping.
- Monitor shipments in transit and proactively address any delays or logistical issues.
- Optimize shipping routes, modes, and cost efficiencies in collaboration with logistics partners.
Internal Coordination
- Work closely with design & development, merchandising, sourcing, logistics, sales and inventory teams to align on production and delivery schedules.
- Support pre-production & production meetings and ensure timely delivery of trims, fabrics, and tech packs to vendors when applicable.
- Communicate key production and logistics updates to internal stakeholders and escalate delays or issues promptly.
- Work with the Sales Operations Manager to troubleshoot and resolve any delays or shortages.
- Lead weekly production meetings and share concise, actionable status reports.
- Represent the production team in cross-functional discussions, particularly those related to logistics, planning, and timelines.
- Collaborate with Finance on PO and shipment schedules to support accurate cash flow planning.
- Support internal audits and maintain compliance with production processes and documentation standards.
Reporting & Analysis
- Maintain accurate and up-to-date production and logistics trackers.
- Maintain, track and analyze weekly production WIP (work-in-progress) and logistic trackers & reports, providing timely updates to internal and external stakeholders.
- Analyze vendor performance (on-time delivery, quality, compliance) and suggest improvements.
- Prepare regular reports on production status, shipment timelines, and inbound delivery metrics.
- All other related duties as assigned.
Qualifications
- 2-4 years of experience in production coordination, inbound logistics, supply chain, or a related field-preferably in apparel, consumer goods, or manufacturing.
- Strong organizational and project management skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to collaborate effectively across teams and with external vendors.
- Proficiency in Microsoft Excel, ERP systems (e.g., Full Circle), and project management tools like Asana or Trello.
- High attention to detail and a proactive, solution-oriented approach to problem-solving.
- Understanding of quality control processes, purchase order management, and international logistics is a strong asset.
