Castle Hall is an entrepreneurial, dynamic and fast moving company that is looking to add a CRM & Marketing Automation Specialist to our Montreal team. This role responds to increasing demand for Castle Hall's services, and the firm's commitment to continued growth.

Position Overview

Castle Hall is seeking a HubSpot specialist to lead CRM and automation across Sales, Marketing, and Client Service. You'll manage our HubSpot environment end-to-end - building the infrastructure to drive pipeline growth, enable help desk efficiency, and support data-driven decision-making.

RESPONSIBILITIES

CRM Ownership

  • Manage HubSpot CRM across Sales, Marketing, and Service Hubs
  • Design and maintain lead, contact, and company lifecycle pipelines
  • Build automations and workflows for lead capture, scoring, routing, and nurturing
  • Maintain data integrity and user access protocols
  • Create and manage dashboards and reporting for multiple departments

Sales and Marketing Operations:

  • Support outbound campaigns with segmentation, templates, and performance tracking
  • Align CRM processes to Castle Hall's product suite
  • Build post-event workflows
  • Develop nurture sequences by persona
  • Support integrations with Zoom, LinkedIn Sales Navigator, and internal platforms

Help Desk and Client Service

  • Configure and manage Service Hub ticketing pipelines
  • Develop response templates, routing rules, and SLA tracking
  • Maintain Help Desk Knowledge Base
  • Report on ticket volume, resolution time, and service trends

Tools and Platforms You Will Use:

  • HubSpot CRM (Sales, Marketing, and Service Hubs)
  • Microsoft 365 Suite (Outlook, Excel, Teams, SharePoint)
  • Zoom (internal and external communication)
  • Softr (internal portal and lightweight apps)
  • Custom in-house platforms for client delivery and data access
  • LinkedIn Sales Navigator

DESIRED SKILLS AND EXPERIENCE

  • Three (3) years of experience managing HubSpot CRM in a B2B setting
  • Deep knowledge of Sales, Marketing, and Service Hubs
  • Strong skills in automation design, ticketing systems, and data reporting
  • Proactive, structured, and collaborative working style
  • Fluent in English (French an asset)
  • HubSpot certifications preferred
  • Experience in professional or financial services a plus
  • Familiarity with lifecycle management, lead scoring, and internal CRM adoption strategies
