At ProxyLink, we specialize in building meaningful connections between exceptional talent and leading employers across Canada. As a trusted recruitment partner, our mission is to create impactful career matches by combining innovative hiring strategies with a personalized, people-first approach. We're driven by the belief that investing in people today builds a stronger workforce for tomorrow.

This position offers an exciting chance to support strategic people operations in a company that values adaptability, innovation, and an employee-first culture. This is more than just a transactional payroll position - it's a role for someone ready to take ownership of compensation processes, health benefits, retirement programs, and data analytics while influencing employee satisfaction and compliance.

About the Role:

You'll act as a bridge between HR, Finance, and third-party vendors to ensure all compensation and benefits functions run smoothly. You will also work cross-functionally to enhance the overall employee experience by streamlining internal systems and improving access to benefits and payroll information.

Core Responsibilities

Compensation & Payroll Operations

  • Manage end-to-end payroll processing for salaried and hourly employees across multiple departments, including data verification, reconciliation, and final payroll runs.
  • Liaise with department leaders to verify time and attendance records, overtime, and incentive-based pay.
  • Collaborate with Finance for tax filing, compliance reporting, and audit preparation.
  • Process all post-payroll transactions such as ROEs, garnishments, and bonuses.
  • Support year-end processes including distribution of T4s, reconciliation of annual payroll records, and CRA filings.
  • Identify inefficiencies in the payroll cycle and recommend system/process improvements.

Benefits & Retirement Program Administration

  • Administer daily activities related to group benefits, health plans, and pension programs.
  • Act as the go-to contact for employees, retirees, and third-party vendors for all benefits-related questions.
  • Coordinate enrollment, life changes, terminations, and claims support.
  • Support leave of absence tracking, benefit premium collections, and disability claims submission.
  • Maintain employee data in HRIS, ensuring accuracy for insurance eligibility and payroll deductions.
  • Prepare monthly reports for benefits reconciliation, invoice approvals, and costing summaries.
  • Participate in planning and executing annual open enrollment, including employee communications and system updates.

System & Process Support

  • Serve as backup support for the HRIS team in system administration, testing, and updates.
  • Manage vendor file uploads and integrations with external benefit providers.
  • Support digital initiatives such as employee engagement tools and benefits awareness campaigns.
  • Maintain internal documentation for processes, policies, and FAQs related to pay and benefits.

Who We're Looking For:

Education: Post-secondary education in Business, Human Resources, Finance, or related field. PCP certification or active enrollment is preferred.

Experience: At least 3 years of experience in payroll processing; 1+ years in benefits and pension administration.

Technical Skills:

  • Proficient in HRIS and payroll software (ADP, Ceridian, Lawson, or similar).
  • Advanced Microsoft Excel and strong data analysis capability.
  • Soft Skills:
  • Exceptional organizational and problem-solving abilities.
  • Discrete and professional when handling confidential information.
  • A team player who can also work independently with minimal supervision.
  • Comfortable working in a fast-changing environment with evolving responsibilities.

Why You Should Apply:

This opportunity is perfect for someone who thrives in a people-focused organization where no two days are the same. You'll be empowered to improve internal systems, help employees understand their total rewards, and contribute to a more human-centered workplace.
