BMA Conventions is looking for two dynamic individuals to join our growing team for recurring, high-impact live events across North America:

  1. Event Coordinator - Someone who thrives on the convention floor, loves people, and can turn chaos into calm.
  2. Administrative Support - A highly organized, detail-driven professional who ensures all back-end logistics, communications, and records run like clockwork.

About the Roles1. Event Coordinator

This client-facing role is ideal for someone with a hands-on attitude who can handle the excitement of a live event environment. You'll help execute conventions that leave a lasting impression.

Key Responsibilities:

  • Coordinate the setup and execution of corporate conventions and expos
  • Serve as liaison between clients, vendors, sponsors, and exhibitors
  • Manage on-site logistics and troubleshoot in real time
  • Conduct pre-event walkthroughs and post-event wrap-ups
  • Deliver excellent client service and professional representation
  • Manage tech checks, speaker support, and exhibitor logistics

What We're Looking For:

  • Prior experience in corporate or live event coordination
  • Excellent communication, organizational, and multitasking skills
  • High energy and client-focused attitude
  • Flexibility to travel and work quarterly events (3-4 days)

2. Administrative Support

This role is essential to keeping operations smooth behind the scenes. You'll assist with scheduling, communications, documentation, and tracking key tasks before, during, and after each event.

Key Responsibilities:

  • Support event prep with scheduling, documentation, and data entry
  • Manage registration lists, contracts, and internal communications
  • Coordinate travel logistics and event supply inventory
  • Compile post-event reports and expense summaries
  • Provide virtual or on-site admin support during events

What We're Looking For:

  • Strong attention to detail and administrative experience
  • Proficient in Google Workspace and Microsoft Office
  • Highly organized and proactive problem-solver
  • Comfortable working independently with clear deadlines
  • Availability for remote prep and potential travel during events
