Why This Role Matters

Step into a pivotal position at Affinity IFS & Artisan Corporation, two fast-growing Canadian businesses in real estate investment and facility services. You'll be the linchpin who keeps daily operations humming and supports our financial backbone-while gaining unmatched visibility into strategic decision-making alongside the CEO and our CPA-led finance team.

What You'll Do

Office Leadership:

  • Serve as the first point of contact-greet visitors, manage mail, stock supplies and ensure a seamless workplace.

• Coordinate executive calendars, prep materials for leadership meetings, and draft key correspondence.

• Identify and implement process improvements: from filing systems to new office technologies.

Financial Support:

• Assist with month-end close: prepare P&L variance notes, balance-sheet reconciliations and summary reports.

• Handle billing & payments workflows: generate invoices, follow up on receivables, process vendor payments and manage HST/WSIB filings.

• Support payroll administration: benefits deductions, CRA remittances and accurate submissions.

• Maintain and refine financial dashboards in Excel; collaborate with our Director of Finance on audits and tax prep.

Who You Are

Hands-On Experience: You've spent 1-3 years running billing, payments and day-to-day office management-enough to know the ropes, but you're not looking for a pure "expert" role.

Smart & Energetic: You jump into new challenges with enthusiasm, learn quickly, and elevate every project you touch.

Detail-Driven: You catch inconsistencies in a spreadsheet and inefficiencies in a workflow before anyone else.

Self-Starter: You anticipate needs, solve problems independently and keep multiple priorities on track.

Canadian Business Fluent: You understand Ontario's business culture, and you respect professional etiquette.

Tech-Friendly: Excel is second nature; familiarity with QuickBooks, Sage, Yardi or similar systems is an asset.
