The Role

We are seeking an Admin Assistant to join our fast growing and dynamic team in its Toronto office. The Admin Assistant will have a unique opportunity to contribute to Marlin Spring Development's growing Portfolio within the GTA.

Reports To Executive Assistant, Development

Job Overview

We are seeking a professional individual who thrives on organization and is able to provide a high level of administrative support to the MSD team while working collaboratively within the division. This position requires strong judgment, professionalism, prioritization and confidentiality in dealing with high profile situations.

Responsibilities

  • Scheduling meetings, booking meeting rooms, and making any arrangements for equipment or refreshments
  • Maintain calendars for multiple leaders, providing strategic calendar management
  • Undertaking other tasks on behalf of the management team such as expenses, invoices, etc. and providing general administrative support as needed
  • Prepare reports, documents, letters
  • Researching various specific topics and preparing related documents
  • Manage subscriptions & renewals
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc
  • Monitor deadlines and provide notices to appropriate parties when necessary
  • Other administrative duties as assigned to support the needs of the team
  • Acts as a back up support to the corporate receptionist

Qualifications

  • High school diploma or equivalent education required
  • Completion of a one or two-year college or other program for administrative assistants or secretaries or previous clerical experience is considered an asset
  • 2 years of administrative assistant experience
  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
