We are seeking a reliable and detail-oriented Administrative Assistant to support our office. The successful candidate will play a key role in ensuring smooth day-to-day administrative functions within the office.
Key Responsibilities:
- Provide administrative support to project managers and executives.
- Answer and direct phone calls, manage incoming emails, and handle correspondence.
- Schedule meetings, appointments, and site visits; maintain calendars.
- Prepare and organize documents including contracts, quotations, change orders, etc.
- Maintain and organize project files, logs, and documentation (digital and paper).
- Assist with data entry, basic bookkeeping (QuickBooks), accounts payable and receivable.
- Ensure transactions are posted to the appropriate accounts.
- Assist bookkeeper with yearend preparation.
- Track and file employee timesheets and assist with payroll preparation.
- Order and maintain office and kitchen supplies, equipment etc.
- Arrange for catering and lunch ordering when required.
Qualifications:
- Understanding of basic bookkeeping principles and practices would be an asset
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook,).
- Excellent oral and written communication skills.
- Strong organizational and time-management abilities.
- Ability to prioritize tasks and handle multiple responsibilities.
- Adaptable and able to be flexible as work priorities change.
