We are seeking a reliable and detail-oriented Administrative Assistant to support our office. The successful candidate will play a key role in ensuring smooth day-to-day administrative functions within the office.

Key Responsibilities:

  • Provide administrative support to project managers and executives.
  • Answer and direct phone calls, manage incoming emails, and handle correspondence.
  • Schedule meetings, appointments, and site visits; maintain calendars.
  • Prepare and organize documents including contracts, quotations, change orders, etc.
  • Maintain and organize project files, logs, and documentation (digital and paper).
  • Assist with data entry, basic bookkeeping (QuickBooks), accounts payable and receivable.
  • Ensure transactions are posted to the appropriate accounts.
  • Assist bookkeeper with yearend preparation.
  • Track and file employee timesheets and assist with payroll preparation.
  • Order and maintain office and kitchen supplies, equipment etc.
  • Arrange for catering and lunch ordering when required.

Qualifications:

  • Understanding of basic bookkeeping principles and practices would be an asset
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook,).
  • Excellent oral and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to prioritize tasks and handle multiple responsibilities.
  • Adaptable and able to be flexible as work priorities change.
