JMC is pleased to be supporting the New Brunswick College of Dental Hygienists (NBCDH) in the recruitment of a skilled and detail-oriented Administrative Lead. This pivotal role supports the daily operations of NBCDH, contributing to its mission of protecting the public by promoting excellence in dental hygiene regulation and practice in the province.

NBCDH serves as the regulatory authority for dental hygienists in New Brunswick, ensuring the highest standards in professional conduct and public safety. The Administrative Lead will support this work by providing high-level administrative coordination, supporting governance processes, and enhancing communication between the Executive Director/Registrar, Council members, and key stakeholders.

Position Overview:

The Administrative Lead plays a central role in the effective functioning of NBCDH by ensuring the smooth coordination of internal systems, meetings, records, and communications. This is an ideal opportunity for a bilingual professional with strong administrative experience, sound judgment, and the ability to work proactively and independently. A background in healthcare, professional regulation, or a related field is considered an asset.

Key Responsibilities:

Administrative & Office Coordination

  • Oversee the coordination of meetings, prepare materials, and take accurate and detailed minutes for Council and committee meetings.
  • Maintain secure, up-to-date records and electronic filing systems in compliance with organizational standards and regulatory obligations.
  • Monitor general inquiries via email and phone, ensuring timely, professional responses.
  • Manage office operations including supply orders, equipment coordination, and general administrative logistics.
  • Conduct data entry, support basic data analysis, and contribute to the preparation of reports and internal documents.

Communication & Stakeholder Support

  • Act as a liaison between the Executive Director/Registrar, Council, committee members, and external stakeholders to facilitate effective communication and information flow.
  • Assist with the drafting and formatting of reports, presentations, and newsletters.
  • Maintain a high degree of discretion and confidentiality in handling sensitive materials.

Process & Workflow Enhancement

  • Document and refine administrative procedures to ensure clarity, consistency, and efficiency across the organization.
  • Support knowledge-sharing by developing standard operating procedures (SOPs) and workflow documentation.
  • Contribute ideas and recommendations to improve administrative systems and practices.

Qualifications & Skills:

  • Fluency in both English and French (written and spoken) is required.
  • Demonstrated experience in a senior administrative or coordination role.
  • Experience within a regulatory body, healthcare environment, or professional association is considered a strong asset.
  • Proficiency with Microsoft 365 tools (Outlook, Word, Excel, Teams, SharePoint) and comfort working with databases.
  • Strong written communication and minute-taking abilities.
  • Highly organized with excellent time management and prioritization skills.
  • Professionalism, discretion, and the ability to manage confidential information appropriately.
  • A self-starter with a collaborative mindset and a willingness to grow into leadership responsibilities over time.
  • Dental hygiene or dental assistant background is an asset but not required.
