JOB SUMMARY
The Executive Assistant would be responsible for providing high-level administrative support to the ELT member(s)and Board member(s). This role is responsible for managing schedules, coordinating meetings, taking minutes, handling communications, and supporting key initiatives. The ideal candidate is detail-oriented, discreet, and highly organized.
KEY RESPONSIBILITIES:
- Provide comprehensive administrative support to the ELT member(s), including calendar management, travel arrangements, and expense reporting.
- Coordinate, attend, and take detailed minutes of executive and leadership meetings, ensuring timely distribution and follow-up on action items.
- Prepare internal and external communications, presentations, and reports as required.
- Act as a liaison between the ELT and internal or external stakeholders, ensuring professional and timely communication.
- Manage confidential and sensitive information with a high level of discretion and integrity.
- Plan and coordinate logistics for meetings, events, and conferences on behalf of the executive office.
- Maintain and organize digital and physical files related to executive activities.
- Support special projects and initiatives as assigned by the ELT member.
- Optimize the use of the Microsoft ecosystem (Outlook, Teams, Word, Excel, PowerPoint, OneNote, SharePoint, etc.) for scheduling, documentation, communication, and collaboration.
- Assist with special projects and complete other duties as assigned.
QUALIFICATIONS:
- Bachelor's degree in Business Administration or related field.
- Minimum of 5 years of experience supporting senior executives, preferably at the C-suite level.
- Proven ability to take clear, concise, and actionable meeting minutes.
- Strong proficiency in the Microsoft Office ecosystem (including Outlook, Teams, Excel, Word, PowerPoint, OneNote, SharePoint).
- Exceptional organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to exercise sound judgment, professionalism, and confidentiality.
- Strong attention to detail and problem-solving skills.
- Flexible and adaptable to changing priorities and demands.
WORKING CONDITIONS:
- Office-based with occasional travel as required.
