Job Description:
We are seeking two proactive and tech-savvy Executive Assistants to support the CTO and CFO of Canada Cloud Pharmacy. These roles are vital in ensuring that the executives can operate efficiently and effectively, with support in communication, scheduling, and organizational tasks. The ideal candidate will have a strong presence, maintain a professional demeanor, and provide critical support in coordinating the executives' daily activities and priorities.
Key Responsibilities:
- Direct Support to the CTO and CFO: Maintain a constant presence to assist the executives, providing seamless support in day-to-day activities and maintaining an organized flow of information.
- Email and Communication Management: Review, prioritize, and respond to important emails on behalf of the executives. Serve as a primary point of contact and ensure timely communication across various channels.
- Meeting Coordination and Minutes: Attend meetings with the executives, taking clear and detailed minutes. Ensure accurate records are maintained and follow up on key action items.
- Calendar and Travel Management: Manage the executives' calendars, schedule appointments, and coordinate travel arrangements to maximize productivity.
- Technology Utilization: Proficiently use Microsoft Teams, Outlook, Excel, Planner, and Loop to manage tasks, communications, and collaborative efforts effectively. Comfortable learning new technologies as needed for the role.
- Professional Representation: Represent the executives with professionalism, maintain a polite and composed demeanor, and communicate clearly and thoughtfully.
- Proactive Problem Solving: Anticipate the executives' needs and proactively address potential issues, ensuring smooth operations.
Job Requirements:
- Experience: Minimum of 5 years as an Executive Assistant, preferably supporting senior executives in a fast-paced environment.
- Educational Background: Degree in Business, Communications, Management, or a related field.
- Travel: Required to travel between different office locations in Vancouver and Surrey on a daily basis, and to Winnipeg when needed (less than 10%).
- Technical Skills: Proficiency in Microsoft Office Suite (especially Excel, Outlook, and Teams), along with tools like Planner and Loop.
- Organizational Skills: Exceptional ability to multitask, prioritize, and manage time efficiently.
- Communication Skills: Excellent written and verbal communication skills, with the ability to maintain composure and professionalism.
- Attention to Detail: Strong ability to capture and record accurate meeting minutes and follow up on action items.
- Professionalism: Demonstrates a high level of discretion, confidentiality, and decorum in interactions.
