Role Description

We're looking for a sharp, reliable Administrative Assistant to provide high-level support to our leadership. This is a fast-paced, high-responsibility role where precision, discretion, and anticipation are key. You must be fluent in both English and Chinese, with the ability to communicate clearly, professionally, and with discretion. If you're organized, proactive, and can handle the details without losing sight of the big picture, we want to hear from you.

Job Responsibilities

Handle scheduling, calendar management, meeting coordination, and track action items

Prepare reports, presentations, and other documents

Support office operations including supplies, filing, and data entry

Screen and prioritize emails, calls, and requests

Serve as a gatekeeper and point of contact for internal teams and external partners

Support strategic projects and assist with internal and external communications

Assist with travel arrangements and expense tracking

Help streamline office processes and maintain digital filing systems

Maintain confidentiality with sensitive company and personnel information

Jump in where needed to help the team stay on track

Support other departments with ad hoc administrative tasks

Qualifications

luency in written and spoken English and Chinese (Mandarin)

Strong organizational skills and attention to detail

Comfortable handling sensitive or confidential information

Skilled in Microsoft Office Suite (especially Excel and PowerPoint), Google Workspace, or similar tools

Excellent communication and interpersonal skills

Ability to prioritize tasks and manage time efficiently

Reliable, proactive, and professional
