Job Title: Project Administrator
Location: Primary work location: Fredericton, NB
Duration: May 19, 2025 - May 18, 2027 (2 years)
Role Overview:
The Department of Health is seeking a qualified Project Administrator to support the Clinical Information Systems (CIS) program. This individual will play a critical role in assisting multiple project teams with administrative and coordination tasks to ensure efficient planning, execution, and delivery of project objectives.
The Project Administrator will serve as a key liaison among technical teams, stakeholders, and end users-supporting documentation, scheduling, project tracking, and general communication functions.
Key Responsibilities:
- Support communication and coordination with team members, stakeholders, clinicians, and regulatory bodies
- Maintain and organize project documentation, libraries, schedules, and status reports
- Assist in preparing governance meetings and status updates for Working Groups
- Log and track project change requests and updates in manual and/or digital formats
- Act as the first point of contact for hotline calls, resolving basic issues and escalating as necessary
- Support multiple teams or project streams with clerical or coordination tasks
- Utilize Microsoft Office 365 and Zoom tools to perform daily administrative functions
- Use JIRA or other platforms for issue and project task tracking
- Perform additional tasks as assigned by project leadership
Mandatory Requirements:
- Post-secondary degree in Business Administration, Healthcare, or IT, OR equivalent experience as a Project Administrator (3+ years)
- Must reside in New Brunswick
- Excellent English communication, facilitation, and presentation skills (verbal and written)
Desired Qualifications:
- 2+ years supporting large-scale projects, preferably within healthcare or IT system environments
- Strong multitasking and coordination abilities, with experience supporting multiple teams simultaneously
- Strong interpersonal skills and ability to collaborate with various stakeholders
- Proficiency in Microsoft Office 365 suite and Zoom (3+ years)
- Familiarity with Atlassian JIRA (1+ year)
- Bilingual in English and French (preferred); include recent evaluation score if available
- Previous experience with New Brunswick's Regional Health Authorities (RHAs) or equivalent healthcare settings is a strong asset
Deliverables:
- Facilitate team communication and coordination among diverse stakeholders
- Maintain project documentation, libraries, and electronic filing systems
- Assist with project status reporting, meeting logistics, and administrative support
- Track progress and report on assigned tasks to project management
- Ensure accurate and timely updates to all project records and systems
- Perform other administrative duties as assigned
