Role Summary
You turn marketing strategy into organized, on time execution. You'll juggle multiple campaigns, manage resources in Notion, and keep cross functional teams focused on clear priorities, timelines, and results.
Key Responsibilities
- Project Intake & Scoping - Collaborate with both Marketing and Program teams, to clarify objectives, success metrics, budgets, and initial scope before work begins.
- Plan & Schedule - Build realistic work back schedules in Notion, mapping tasks, owners, and dependencies; adjust as priorities shift.
- Cross Functional Coordination - Bring the right people in at the right moment, with the context they need to eliminate blockers and hit milestones.
- Brief Ownership - Collect inputs, refine requirements, and secure stakeholder sign off; ensure every team member works from a single, approved brief.
- Execution Oversight - Guide activation phases (creative production, media trafficking, QA, launch) to keep output aligned with brief and brand standards.
- Quality & Risk Management - Track deliverables against quality benchmarks, flag risks early, and drive course corrections before deadlines slip.
- Process Improvement - Document and iterate workflows; recommend automations, templates, or tooling that speed time to market.
- Reporting - Compile lightweight performance updates from GA4, ad platforms, and automation tools so stakeholders see progress at a glance.
- Knowledge Management - Maintain a single source of truth in Notion (dashboards, post mortems, SOPs) to preserve institutional knowledge.
Must Have Qualifications
- 3-5 years project or program management experience within a marketing team or agency.
- Proven ability to manage 5-10 concurrent projects without losing detail.
- Expert level Notion skills (databases, formulas, advanced views, integrations).
- Strong written and verbal communication-concise updates, clear briefs, and stakeholder diplomacy.
- Systems thinker who documents processes and relentlessly improves them.
Nice to Have
- Formal PM credentials (PMP, Scrum, or similar).
- Experience with Figma, n8n/Zapier automations, or basic SQL.
- Familiarity with charitable gaming, lotteries, or other regulated verticals.
- Light copy editing skills to catch brand or compliance issues on the fly.
