Job Summary:
The Manitoba Association of Friendship Centres (MAFC) is seeking a highly organized and detail-orientated Administrative Assistant to provide administrative support to the Executive Director and assist with the day-to-day operations of the organization. The ideal candidate will be responsible for managing communications, scheduling, document preparation and ensuring the smooth coordination of administrative tasks.
Key Responsibilities:
Review and respond to emails, answer phone calls, and direct inquiries to the appropriate contacts.
Provide administrative support to the Executive Director, including scheduling appointments, drafting correspondence, and handling confidential documents.
Organize and coordinate meetings, including setting up Zoom links, preparing agendas, taking minutes and ensuring all necessary materials are available.
Make travel arraignments, including booking hotels, flights, and restaurant reservations for staff and board members.
Prepare, compile and distribute board kits and other meeting materials
Maintain records, databases, and filing systems for efficient document retrieval.
Assist in the preparation of reports, presentations, and office documents using Microsoft Word, Excel and adobe.
Ensure office supplies are stocked, manage ordering of supplies, and oversee deliveries.
Manage time absence Sheet and scheduling.
Create and oversee cleaning schedules.
Support event planning and logistics for organizational meetings and conferences.
Perform other administrative duties as required to support the organization.
Qualifications & Skills:
Minimum of 2 years of administrative experience, preferably in a non-profit or organizational setting.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Adobe Acrobat.
Strong Organizational and time-management skills with the ability to multitask effectively.
Excellent verbal and written communication skills.
Ability to work independently and exercise discretion with confidential information.
Strong problem-solving skills and attention to detail.
Experience with Zoom and other virtual meeting platforms.
Knowledge of Indigenous communities, culture and Friendship Centre movements is an asset.
