Position Summary:

We are seeking a Concierge Associate who will serve as the face of the client's workplace - delivering exceptional reception, concierge, and conference services. The ideal candidate is warm, professional, proactive, and client-service driven. This role ensures all visitors and employees experience a welcoming and well-organized environment every day.

Key Responsibilities:

Reception & Front Desk Duties

  • Greet and assist guests, clients, and staff with a professional and welcoming demeanor
  • Answer incoming calls, route them appropriately, and take messages as needed
  • Monitor visitor logbooks, issue badges, and follow building security protocols
  • Maintain a neat and organized reception area
  • Coordinate meeting and conference room reservations and assist with scheduling
  • Provide general administrative support and collaborate with team members to ensure smooth daily operations

Hospitality & Conference Room Management

  • Prepare and maintain meeting rooms, ensuring cleanliness and readiness before and after meetings
  • Manage catering orders and set up food and beverage services for meetings and events
  • Maintain pantry areas, coffee stations, and kitchen supplies
  • Restock, organize, and perform light cleaning and dishwasher duties
  • Track catering inventory and confirm delivery details and pricing

Cross-Functional Support

  • Provide backup coverage for reception and other concierge teammates
  • Assist with office moves, workspace set-ups, and small facilities issues
  • Collaborate with other departments to support service excellence across the workplace
  • Participate in ongoing training to maintain knowledge of company standards and client expectations

Qualifications:

  • Prior experience in a professional Front Desk, Concierge, or Office Services role
  • Exceptional communication and interpersonal skills
  • Professional, polished appearance and a can-do attitude
  • Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint)
  • Highly organized and detail-oriented with strong multitasking abilities
  • Dependable, punctual, and a reliable team player
  • Ability to lift up to 30 lbs and perform light physical tasks as needed
