Companys Address and Job Location: Head office, Dominion St, Burnaby, BC V5G 4G3 Position Overview: Aa an Administrative Analyst/Coordinator, you will be responsible for coordinating administrative operations, overseeing procedural improvements, and ensuring optimal and consistent documentation and processes across the organization. Position Title: Administrative Analyst/Coordinator (NOC 13100) Type of position: full-time (40 hr/wk), permanent Hourly wage: $34.65/hr Benefits: Health and dental benefits, including LTD and life insurance, vision Key Responsibilities: Support the development, implementation, and continuous improvement of process-driven administrative strategies: Oversee and coordinate the improvement of organizational and administrative procedures Gather and document information from internal teams regarding office procedures, tool usage, and workflow efficiencies Review and analyze information gathered from stakeholders to ensure consistency, identify gaps, and ensure alignment with organizational policies, procedures, and standards Craft documentation including SOPs, manuals and other relevant knowledge assets that can be consumed at all levels of understanding Management reporting, governance, and process performance: Assemble data, conduct analysis, monitor KPIs to evaluate performance against targets, and prepare reports to proactively communicate results, issues, risks, and operational performance. Ensure adherence to internal policies & procedures Prepare reports, manuals, and documentation for senior management and stakeholders. Administer, and test future-state processes and solutions: Assist teams with future-state definition and design of solutions, providing guidance for solving process problems that enhance accuracy, speed, and cost-effectiveness Administer and monitor processes for optimization, ensuring new procedures continue to support business objectives Test new procedures and systems against control plans and use problem and change management processes to address control plan failures Coordinate internal initiatives and business support: Carry out project and continuous improvement activities in collaboration with business units to ensure the success of each project Establish the work priorities for implementation of business solutions to ensure teams are prepared for changes (including communication and training) Delegate project tasks to team members, ensuring deadlines are met Conduct project activities, coordinate and follow-up on tasks and assignments with cross-functional teams Support the Operational Excellence program: Enhance internal processes and methodology. Actively participate in improving the teams operating procedures and project management processes Champion operational excellence. Act as an ambassador of continuous improvement within the organization; raise awareness and facilitate the adoption of concepts, tools, and best practices among internal stakeholders Cross-functional collaboration. Support the Process and Projects Manager, Operational Excellence (OE) team, and Microserve business units as needed Position Requirements: 2+ years of experience a senior clerical or executive secretarial position, ideally in office administration/management, or process coordination A college diploma in business, public administration or related field Strong ability to document workflows, procedures, and administrative processes Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint, Teams) Ability to juggle multiple initiatives simultaneously Excellent written and verbal communication skills in English Asset Qualifications: Experience with ConnectWise, MS Dynamics, or Power Platform Familiarity with Lean Six Sigma or process improvement methodologies Experience with ITIL framework Application Process: If you meet the qualifications and are ready to join our dynamic team, please submit your application with your resume and a cover letter detailing your relevant experience at
