Role Overview:
Our Toronto office is currently recruiting for a Records Clerk in our Records Department, reporting to the Supervisor, Records Management. This role provides a range of duties including supporting our lawyers and support staff with both incoming and outgoing record requests (physical and electronic), end user training and assisting with special records related projects as required.
The successful candidate will be responsible for:
- Working as a valuable team member on a legacy records management review project.
- Occasionally responding to both internal and external records requests and inquires.
- Assisting in processing offsite records delivery and retrieval requests in a timely and cost-effective manner.
- Processing and staging all offsite records delivery and retrieval requests via the Firms records management platform.
- Advising and educating support staff on use of the Firms records management platform with regards to cataloguing and preparing files for offsite storage and retrieval.
- Delivering and retrieving physical records within the office to lawyers and support staff.
The successful candidate must have the following education, experience and/or demonstrated skills:
- Ability to lift and handle boxes weighing 0-40 lbs., frequently throughout the day.
- Experience involving data entry, scheduling/logistics, tracking, filing and/or inventory control.
- Strong organizational and time management skills.
- Ability to work with sensitive documentation and information in a confidential and professional manner.
- Effective verbal and written communication skills.
- Strong interpersonal skills with the ability to operate as part of a team and engage with a variety of stakeholders and clients.
- Proficiency working with MS Office applications (Outlook, Word, Excel) or similar software applications.
- Ability to take initiative and work independently with minimal supervision.
- Successful completion of a Library and Information Technology or Certified Records Management program would be considered an asset.
- Experience working with specialized database systems and/or information management systems would be considered an asset.
