This role in in-office and will combine customer-facing responsibilities with essential administrative tasks to support the efficient running of our office. The ideal candidate will have excellent communication skills, a strong customer service mindset, and the ability to perform administrative duties in a fast-paced environment.

Key Duties and Responsibilities

Customer Service:

  • Serve as the primary point of contact for customers, addressing inquiries related to products, services, and policies via phone, email, or in-person.
  • Accurately process customer orders by phone or email, and issue order confirmations ensuring alignment with customer expectations.
  • Assist in processing returns, credits and replacement orders as needed.
  • Address customer concerns and complaints in a professional and timely manner.
  • Provide product and service information, resolving customer issues while ensuring satisfaction.
  • Prepare product samples and print sample labels as needed.

Administrative Support:

  • Assist in preparing and maintaining reports, and other documents as requested by management.
  • Set up new customers in the database, and maintain existing customer accounts, ensuring information is accurate and up to date.
  • Handle submission emails from leads, direct inquiries to the appropriate departments, and follow up when necessary.
  • Support with data entry, filing, and maintaining office records in a systematic manner.
  • Help with day-to-day office operations, including coordinating and organizing team lunches and events.
  • Prepare and print product extension labels for the warehouse.
  • Keep samples room clean, organized with updated labels and dosage sheets.
  • Work with the marketing department to update the Canadian website with new products as needed.

Qualifications:

  • High school diploma or equivalent; post-secondary education in business administration is a plus.
  • Previous experience in customer service and administration in an office or call centre environment.
  • Excellent knowledge of the English language with strong verbal and written communication skills.
  • Strong organizational skills and the ability to manage multiple tasks effectively.
  • Proficiency with modern office software (Microsoft Office 365, Outlook, SAP systems, etc.).
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Positive attitude and professional demeanor.
  • Multitasking abilities and time management skills.
