We are currently seeking a highly organized and driven Corporate Legal Administrative Assistant for one of our Downtown Vancouver clients to provide key support to a group of 2-3 Corporate Lawyers. This role offers a unique opportunity to be involved in both practice management and transactional work while contributing to the success of a dynamic legal team.
About the Role
As a Legal Administrative Assistant, you will be an essential part of our Corporate practice, supporting lawyers through efficient administrative and transactional assistance. The ideal candidate thrives in a high-achieving, fast-moving environment and is passionate about delivering top-tier legal administrative support.
Key Responsibilities:
Practice Management
- Open and close legal files, including KYC and Source of Money forms
- Prepare and manage expense reports, trust paperwork, and incoming/outgoing correspondence
- Maintain calendars, meeting schedules, and bring-forward systems
- Answer phone calls and respond to email inquiries
- Communicate with clients professionally and confidentially
Transactional Support
- Draft, edit, and format correspondence, agreements, and forms
- Coordinate execution and collation of transaction documents
- Manage closing documentation and create digital closing books
- Conduct searches via BC Online and LTSA
Billing
- Prepare WIP reports, pre-bills, and invoices; review for accuracy
- Distribute bills to clients and manage follow-up on outstanding balances
- Handle trust paperwork related to billing
General Support
- Provide back-up support to other Legal Assistants and Reception as needed
- Assist with coverage during absences or high-volume periods
Ideal Candidate Qualifications
- Legal Administrative Assistant Certificate from an accredited program
- Minimum 2 years' experience in a similar role (5+ years preferred)
- Previous experience in Business Law highly desirable
- Proficiency with Microsoft Office Suite, Adobe, Workshare Compare, PC Law, iManage, BC Online, DocuSign, MyLTSA, and Alf considered a strong asset
- Exceptional attention to detail and formatting skills
- Highly organized with the ability to multitask and prioritize deadlines
- Tactful and professional communication skills, both written and verbal
