The Role:

As a highly organized and personable Executive Assistant and Front Desk Coordinator, you serve as the first point of contact for clients and visitors-welcoming guests, conducting office tours, and ensuring professional front-of-house experience. With strong communication skills and attention to detail, you will contribute to health and safety initiatives, social event planning, and the upkeep of critical company records and facilities.

Reports to the Human Resources Manager.

Essential Duties & Responsibilities:

  • Greet and welcome clients, visitors, and staff with a professional and friendly demeanor
  • Serve as the first point of contact for the organization, ensuring all guests have a positive and smooth experience
  • Conduct office tours for new clients, employees, and visitors, providing an overview of facilities and services
  • Managing the organization of off/onsite meeting bookings for departmental meetings, training and strategy days to include venue booking, accommodation where necessary, refreshments etc.
  • Coordinating and scheduling complex travel arrangements to include air, train, hotel etc.
  • Ensuring all travel is completed in advance and is both time efficient and cost effective
  • Be an active part of JHSC (Joint Health and Safety Committee)
  • Be a member of the Social Committee (planning, organizing & executing company events)
  • Managing all building maintenance contracts
  • Supporting various departments with administrative requests
  • Adapting to shifting priorities or urgent requests from various departments (Marketing, Customer Service, Finance, Procurement)
  • Manage and update company directory, Org Chart, event dates etc.
  • Event and meeting coordination (lunches, dinner reservations)
  • Demonstrates a polished and professional presence aligned with company standards
  • Multitasking in fast-paced environments

  • Reception and front-desk etiquette
  • Strong Interpersonal skills
  • Customer service and guest relations
  • Liaising with executives, staff, and external clients
  • High level of discretion and integrity
  • Ability to work independently and with a team
  • Attention to detail and accuracy

Technical Skills:

  • Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint)
  • Office equipment (copiers, scanners, multi-line phone systems)
  • Strong knowledge of Excel
  • First Aid or CPR Certified as an asset
