Our client, a not for profit health and benefits company is looking to add an Operations Law Clerk to their team.

THE ROLE IN A NUTSHELL

The Operations Law Clerk - Legal, Privacy and Compliance supports two functional areas within the broader Legal, Board Affairs, Privacy and Compliance department with day-to-day activities and ongoing projects designed to improve our performance and enhance efficiency. This role contributes to the department's commitment to a "Better Way" to deliver services that benefits key stakeholders and the company as a whole.

THIS ROLE WILL BE RESPONSIBLE FOR

  • Maintaining corporate records and the corporate entity database
  • Preparing and filing corporate returns
  • Performing various corporate searches and corporate on-line registrations
  • Liaising with internal and external legal counsel and other internal groups as required
  • Support with processing, monitoring and tracking invoices from external counsel for budgeting, forecasting and workflow purposes
  • Identifying trends in spending to support more effective ways of working (internally and externally)
  • Ensuring legal matters are being inputted and tracked in the legal matter management system (Xakia) and supporting with internal workflow management
  • Support preparing monthly, quarterly and annual reports on the use of legal services by line of business to demonstrate the productivity and value delivered by the legal department
  • Identifying process improvements based on trends identified through legal department reporting
  • Support with litigation management, working closely with legal counsel
  • Support with contract lifecycle management and the management of the legal department drive
  • Support with onboarding and department management activities
  • Create and maintain a Privacy Impact Assessment (PIA) shared folder and log
  • Maintain Privacy Incident and Breach logs
  • Support the transition from Ethidex to Resolver and ongoing operation of Resolver (managing regulatory calendar of filings)
  • Update and maintain regulatory policy tracker ensuring the policies are updated in a timely manner by policy owners.
  • Gather information and develop Regulatory Compliance Management Self-Assessment reports annually
  • Support the Security and Privacy committee, annual regulatory reporting, and the licensing program for insurance agents
  • Other duties as assigned

Qualifications for this role include:

  • A diploma from a recognized Ontario Law Clerk program certified with The Institute of Law Clerks of Ontario or equivalent.
  • Minimum five years' experience, preferably in a legal setting.
  • Excellent organizational and time management skills with the ability to meet deadlines and manage a variety of requirements and priorities concurrently.
  • Excellent communication skills (verbal and written); knowledge of legal terminology, processes, and procedures is a plus.
  • Proficient in using office productivity software (e.g., Microsoft Office suite) and legal document management systems.
  • Proactive, diplomatic, and confident with the ability to develop, foster and maintain relationships with a wide variety of stakeholders, including members of the senior leadership team and the executive committee.
  • Analytical and critical thinking capabilities.
  • Ability to work independently and a strong team player.
  • Ability to be discrete and maintain confidentiality and privacy requirements.
  • Sound judgment and problem-solving skills.
  • A high level of initiative, attention to detail and accuracy.
