About the Clinic:
Sea To Tree Health & Wellness offers accessible clinical counselling, coaching, and wellness services in Sooke, the Westshore, and online. Our model allows us to offer low-cost programs enabling us to support the community by mitigating financial barriers to counselling.
Position Overview:
We are seeking a highly organized and proactive Centre Manager to oversee and coordinate operational and administrative projects at our clinic. This role requires a detail-oriented professional with strong leadership skills. As the primary point of contact for staff and contractors, the Centre Manager plays a key role in the daily operations of the clinic by ensuring smooth, efficient, and professional functioning of all administrative processes.
Working Conditions:
As an integral part of a collaborative team, this position expects responsiveness when required but otherwise offers autonomy with remote work and flexible hours. Weekday availability during standard business hours is essential.
What You'll Do:
Administrative Operations:
Oversee day-to-day clinic operations managing the team and client referrals
Troubleshoot technical issues with client management software (Jane)
Maintain and update policies, procedures, and operational manuals
Monthly statistical data entry as it relates to intake & client flow
Monitor and respond to centre emails and voicemails in a timely, professional and empathetic manner
Weekly site visits to both locations (Sooke & Colwood)
Program Management:
Plan, execute, and manage various centre programs, including workflow optimization, technology implementation, and community initiatives.
Monitor and report on program status, risks, and issues to the owner
Team Coordination:
Training and support onboarding of new clinicians and interns/students including Human Resources tasks
Manage new inquiries and referrals, connecting clinicians with potential clients and managing waitlisted clients
Serve as a liaison between the team members and owner
Business Development:
Overseeing social media, graphic design and newsletter content
Maintain and develop relationships with existing and new referral sources
Assist with recruitment, screening candidates, scheduling interviews and onboarding
What You'll Need:
Education / experience in office administration and management
Familiarity with healthcare and or mental health setting is an asset
Well developed managerial skills as well as Human Resource experience
Strong organizational, problem solving and time-management skills
Excellent interpersonal, written and verbal communication skills
Proficiency in Jane Practice Management software, Google Workspace
Demonstrated discretion and sensitivity when dealing with confidential information (Criminal record check with vulnerable sector)
Ability to work independently and collaboratively in a small team setting
Understanding of privacy laws and regulations (e.g., PHIPA, PIPEDA)
