Position: Sales Operations & Administrative Coordinator

Location: Vaughan, ON

Full-Time Permanent

Salary: $50,000-$55,000 per year + eligibility for performance-based bonus

Position Overview

We are hiring a detail-oriented Sales Operations & Administrative Coordinator to support our internal sales processes and manage competitive bid submissions. This hybrid role is ideal for someone who thrives on data accuracy, excels in creating reports and dashboards, and enjoys ensuring the smooth execution of sales and tender-related activities.

Key Responsibilities

Sales Support & Administration

  • Process incoming requests including lead entries, sample coordination, and quotation tracking
  • Support internal teams by resolving issues and maintaining workflow efficiency
  • Compile and analyze sales data to produce performance dashboards and actionable insights
  • Develop comprehensive reports to inform strategic decisions
  • Maintain and update customer and sales databases for accurate forecasting and tracking
  • Contribute to continuous improvement of sales strategies through data analysis

Tender/Bid Management

  • Manage complete tender/bid submissions ensuring accuracy and deadlines are met
  • Review submission requirements to ensure alignment with eligibility and competitiveness
  • Maintain organized records of all submissions and documentation for future use
  • Coordinate internally to gather relevant materials and address tender-related queries

What You Bring

  • Post-secondary education in Business, Sales, or related discipline preferred
  • 3-5 years of experience in sales operations or administrative roles, ideally in a B2B or distribution setting
  • Proficiency in Microsoft Excel (advanced level) and CRM tools; experience with Power BI or similar reporting platforms is an asset
  • Strong analytical and organizational skills with the ability to interpret complex data
  • Effective communicator with attention to detail and multitasking capabilities
  • French language skills are a bonus
