We're looking for an exceptionally organized, process-driven Recruitment Operations Manager to join our executive search and digital recruitment agency. This role is perfect for a proactive project manager with a passion for streamlining operations, improving internal systems, and keeping everything (and everyone) on track.

As the backbone of our growing business, you'll manage the day-to-day operations, support the execution of key growth initiatives, oversee marketing coordination, and ensure the team runs efficiently and effectively. You'll work directly with the Founder helping to shape how we scale and operate.

Key Responsibilities:

Operations Management

  • Manage daily business operations, ensuring smooth workflows across recruiting, finance, and client services
  • Evaluate and improve internal systems, processes, and tools to drive operational efficiency
  • Identify opportunities for automation and oversee implementation of new software or platforms
  • Manage relationships with vendors and technology partners, including negotiating contracts and service agreements
  • Provide basic IT support and troubleshoot hardware/software issues as needed
  • Maintain accurate employee, contractor, and client agreements and records, including financial documentation

Project & Process Management

  • Lead internal projects and ensure successful planning, coordination, and execution
  • Manage the applicant tracking software and suite of tools (Zoho Recruit, CRM, Campaigns) to ensure we are using all to their full potential
  • Own project timelines and deliverables, monitor progress, and align team members and accountability
  • Create and manage internal documentation, templates, and knowledge-sharing systems to support new hires
  • Schedule and coordinate team meetings, trainings, and planning sessions
  • Support budget tracking, commission calculations, and financial processes

Marketing & Communications Support

  • Manage website updates and email marketing campaigns using Squarespace and Zoho (Recruit, CRM, Campaigns)
  • Manage marketing-related tasks and projects to support our content marketing campaigns
  • Work closely with the Founder & CEO to continually improve our internal communications, company values, and team-first culture

Who You Are

  • Highly organized and detail-oriented
  • A confident project manager keeping teams aligned and on task
  • Experienced with operations, creating new processes and software systems, and project management-preferably in a recruitment, professional services, or startup environment
  • AI savvy, resourceful, and always thinking about how to automate and improve our systems using the latest emerging tech
  • A collaborative team player who communicates clearly and can juggle multiple priorities with grace
