Summary:

The Fleet Manager will be responsible for overseeing the operation and maintenance of all company vehicles at Enercare. This includes managing vehicle procurement, maintenance schedules, fuel usage, and ensuring compliance with all relevant regulations. The role also involves coordinating vehicle assignments, tracking vehicle performance, and optimizing fleet efficiency.

Active monitoring of the fleet's status requires routine inspections and data analysis to proactively identify potential issues, as well as interacting with key stakeholders to determine optimal fleet operations. These services are to be provided for all Enercare locations across Southern Ontario, in coordination with the Fleet Management Team. Important competencies of the role include the ability to communicate effectively to a variety of stakeholders - in writing and verbally, be highly proficient in fleet management software, be detailed and manage multiple tasks over several areas at the same time, be alert to immediate requests and respond quickly, and occasionally travel to visit each location. A patient and friendly disposition is essential as this is people-focused work. The position works closely with Supply Chain, Finance, IT, Legal, HR, and vendors. This role has an uncompromising commitment to health and safety and all work is expected to comply with safe practices. Additionally, the Fleet Manager will implement and manage a driver safety and risk program to ensure the well-being of all drivers and the safe operation of the fleet, and helping implement Samsara Telematics.

Responsibilities:

  • Manage all fleet operations, including: a. Oversee vehicle procurement, maintenance schedules, and fuel usage, ensuring all vehicles are in optimal condition and compliant with regulations. b. Implement and manage a driver safety and risk program to ensure the well-being of all drivers and the safe operation of the fleet. c. Coordinate vehicle assignments and optimize fleet efficiency through data analysis and performance tracking. d. Govern fleet-related documentation, including maintenance records, compliance certificates, and driver logs, ensuring accuracy and accessibility.
  • Supervise a large number of vendors with recurring schedules, and coordinate additional repairs and maintenance as required with minimum disruption, and according to best practices in Health and Safety (HSE) and Transportation Regulations. Conduct business reviews to ensure performance standards are met, issues are resolved, and improvements to processes are implemented. Review and manage associated vendor contract scope and expiry dates, making recommendations on renewals, working closely with Legal.
  • Share management of the fleet management system by responding to all fleet-related requests as per the service level agreement (SLA), as well as the departmental work application system, folders, and management files.
  • Assist in Fleet communications, including a quarterly email bulletin, ad hoc alerts, the Fleet section on the intranet, and updates on fleet policies and procedures. Manage key stakeholders and effectively communicate updates. Act as a courteous and friendly central point of contact for both internal and external vendors and employees.
  • Provide back-up support to other Fleet roles.
  • Assist with special projects, including cost reduction opportunities, sustainability initiatives, vendor changes, ESG initiatives, etc.
  • Organize special events such as driver safety training sessions, fleet optimization workshops, and recognition events for safe driving.
  • Be on-call to provide after-hours fleet emergency response, including but not limited to coordination of vehicle breakdowns, accidents, and other urgent fleet-related issues.
  • Maintain confidentiality in all matters pertaining to relevant departmental operations.
  • Undertake additional special projects and assignments as assigned by Manager.

Qualifications

  • 5+ years of experience in fleet management or a related field.
  • Experience in vendor performance management, particularly with vehicle maintenance and procurement services.
  • Proficiency in fleet management software and tools specifically Samsara Telematics, with a strong understanding of vehicle maintenance schedules and optimization.
  • Post-secondary education in logistics, transportation, or a related field is an asset.
  • Strong computer skills, including Microsoft Word, PowerPoint, Excel, and fleet management software.
  • Must have a valid driver's license and access to a vehicle for site visits.
  • Knowledge of Health & Safety standards and guidelines, particularly in relation to fleet operations. Awareness of emergency procedures and transportation regulations.
  • Ability to establish and maintain effective working relationships with a focus on exceptional employee and vendor interactions. A patient and friendly disposition is essential.
  • Ability to think and act independently and quickly with a positive attitude.
  • Excellent communication skills, both written and verbal.
  • Excellent time management and organizational skills, with the ability to work independently with minimal supervision.
  • Proven ability to manage large volumes of work and balance several tasks simultaneously.
  • High sense of urgency and ability to prioritize tasks effectively.
