Proposal Coordinator - Based out of Fort Saskatchewan branch - LOCAL APPLICANTS ONLY

Summary

Our Proposal Coordinator role is responsible for completing and submitting proposals through the bidding process, ensuring that each are prepared and submitted on time. Bid estimating and experience managing master service agreements will be an asset. The bid submission process and goal is to be awarded contracts for business and industries we serve. These include Industrial Tank Cleaning, High Pressure and Chemical Cleaning, TDG Fluid Hauling, Pipeline Projects, Pressure and Vacuum Servicing Oil and Gas Sites, Gas Plants, Pulp and Paper Mills.

Duties will include identifying bid opportunities, coordinating documents and information from Clients and our internal Operations, Marketing, Accounting, Safety, HR, and Senior Management departments for submission response to and RFP request. Ensuring appropriately executed, tracked, and within timelines. Experience as a sales professional submitting quotes for bid will be considered and asset.

Responsibilities
Compile and complete bid submissions, monitoring the award process and administration of master service agreement contracts.
Review and confirm contracts are enforced and in compliance with legal requirements, business specifications, and company policies.
Coordinate contract process with business and outside vendor.
Serve as a point of contact for contract bids and agreements.
Coordinate with department personnel information specific to pricing, safety, and project execution plans for bids and agreements.
Ensure bids and agreements are submitted on-time.
Track and compare past, current and upcoming bids and agreements.
Schedule review of expiring contracts/pricing and coordinate replacement contracts
Arrange meetings as required.
Assist senior management as required
Participate in job fairs/marketing opportunities.
Maintain customer contract database.
Maintain positive customer communications and relations.

Qualifications
3+ years of contracts and bidding experience or combination of transferrable work experience in oil, gas, pipeline, industrial cleaning industry experience (preferred)
Understanding of proposal and contract development process.
Ability to organize, prioritize and manage multiple tasks with a high degree of accuracy.
Ability to work under pressure and under short time constraints.
Capacity to manage workload independently with minimal supervision.
Ability to assign tasks to team members and coordinate responses.
Strong computer and technical skills.
Strong organizational, analytical and procedural skills.
Proficiency in Microsoft Office, CRM databases, and online vendor software.
Desire to learn and improve existing processes.
Desire to be part of a fast-moving team and dynamic work environment.
Minimum High School Graduate, College Certification is preferred

Job Type: Full-time

Pay: $60,000.00-$75,000.00 per year
