Legal Assistant for provincial government regulatory client, North York.

Marberg Job Number: 2271.
Job Type: Temporary.
Initial Term: May 27, 2024 to October 31, 2024, with possible extension.
Compensation: From $26.41 per hour to $30.78 per hour, according to experience.

Regular Work Hours: FULL TIME HOURS; From 9 am to 5 pm, not including .75 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (36.25 work hours per week).
Work Location: Hybrid - combination of 2 days remote-based and 3 days onsite at client's North York office, near TTC station.
Position Reports To: Director and Legal Counsel.

Responsibilities Summary:
Provide legal secretarial, administrative and research services to Litigation and Regulatory enforcement legal team, working efficiently to manage high work volumes and multiple deadlines.
Compose and prepare range of letters, memoranda, reports, opinions, briefing notes and legal documents.
Prepare and process evidence and legal documents from research, precedents or information provided by Counsel for use in motions, hearings and other proceedings.
Assist with all aspects of document management, production and disclosure, including collecting, organizing, managing, coding, indexing, and redacting voluminous electronic and hard copy documents and evidence.
Open and close files. Update computerized file/case management and database management systems with all legal documents and correspondence, and conduct searches.
Research files and law library for relevant references, citations, and statutes for insertion to legal documents.
Organize and coordinate meetings, appointments and conferences.
Additional legal administration responsibilities as required.
Qualifications:
Education: Post Secondary Degree or Diploma in Legal Administration, Business Administration, or equivalent combination of education and work experience.
Professional Credentials: ILCO certification courses an asset.
Preferred Work Experience: At least 3+ years of experience in litigation legal administration.
Preferred Sector Experience: Experience from a litigation and/or regulatory enforcement legal environment preferred.

Technical and Language Skills Requirements:
Advanced proficiency in MSOffice, including Word and Outlook (will be tested).
Fast and accurate data entry and typing skills (will be tested).
Demonstrated proficiency in use of database applications to enter, track and update case management systems (may be tested).
Demonstrated knowledge of records retention and archiving procedures to prepare and maintain files (may be tested).
Proficiency with e-discovery software and electronic file management systems an asset.
Strong English communication skills, both written and verbal, including advanced level business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.
Task -Based Qualifications and Additional Attributes:
Demonstrated knowledge of legal office methods, procedures and related policies, court/hearing administration practices and procedures, and relevant federal and provincial statutes to provide administrative and research services to counsel.
Proven knowledge of various legal documents and research vehicles, legal formats, style, terminology and phraseology to prepare legal documents from precedents or information provided by lawyers and other officials.
Punctual, responsible, and reliable. Demonstrated record of professional conduct and character. Proven ability to successfully work remotely as well as onsite.
Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization.
Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
Superior attention to detail, and organized, methodical approach to completion of tasks.
Demonstrated ability to work well both independently and collaboratively, and liaise effectively with a wide and diverse range of internal and external stakeholders.
Additional Requirements:
Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
Ability to work both remotely and onsite, abiding by organization health and safety policies.
Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
Provision of certification of AODA and OHSA online training course completion prior to assignment start.
Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
