Position Summary

The Finance and Data Administrative Assistant is dedicated to the vision, mission, values and strategic priorities of Hospice Niagara and uses their best efforts to promote the interests of the organization and contribute to a positive culture. The Finance and Data Administrative Assistant performs all duties in a safe manner, and abides by all applicable laws, by-laws, rules and regulations of competent authorities and standards of conduct, including those set forth by Hospice Niagara. Finance and Data Administrative Assistant reports to the Finance Supervisor.

The Finance and Data Administrative Assistant works collaboratively with the finance team to complete the key responsibilities list below and other duties as required. This is a hybrid position, in office a minimum of 2 (two) days per week.

The Finance and Data Administrative Assistant performs all duties in a safe and healthy manner, in accordance with Hospice Niagara's policies and procedures, the Occupational Health and Safety Act, and all other applicable legislation.

Key Responsibilities
Reconcile 5 Car Draw lottery tickets, donations and payments and prepare bank deposits, reconciliation reports and other associated reporting
Reconcile Catch the Ace lottery tickets and prepare bank reconciliation reports and other associated reporting
Provide support for 5 Car Draw Early Bird Draw and 5 Car Draw Final Draw
Prepare documents for lottery audits
Prepare 5 Car Draw and Catch the Ace lottery analytics Assisting with organizational statistics, data quality management and analytics
Assist with Audit requests
Provide ongoing support to finance department (payables, filing, other tasks as needed)
Demonstrated ability in planning, organizing and prioritizing multiple tasks and meeting deadlines in a busy environment with poise and patience.
Provide ongoing support to administration department (customer care, photocopying, filing, answering phone calls, receiving donations, processing mail, other tasks as needed)
Answer and forward phones to appropriate staff
Provide input into post event reports
Record funds received accurately into accounting system
Reconcile monthly bank statements, revenue, and posted amounts from spreadsheet into the accounting system and bank.
Performs regular accounting functions including invoice preparation, collecting funds from agreements/ contracts, follow up as required.
Assisting with month end and year end close
Assist with audit support
Other duties, as required

Skills & Attributes
Computer literate in all Microsoft Office applications, especially MS Word and Excel
Strong competence and accuracy in entering, organizing and analyzing data
Experience working with spreadsheets for completing bank deposits/ payments and/or budgets
Strong attention to detail
Demonstrated professionalism
Most possess a high degree of resourcefulness, attention to detail, adaptability and ability to work effectively with minimal supervision.
Highly developed judgment, confidentiality and integrity
Experience working with ADP (considered an asset)
Ability to manage varying priorities, working under tight timelines
Strong interpersonal skills as well as a strong ability in written and verbal communication skills
Willingness to work flexible hours, including some weekends, evenings and holidays based on organizational needs
Access to a reliable personal vehicle or transportation

Academic, Training, Knowledge & Experience
Post-secondary degree in Accounting or education emphasis on mathematics, finance, business administration, or related discipline.
Minimum of 2 years of experience working in the accounting field
In-depth knowledge of financial/accounting processes with particular reference to GAAP and professional ethics
Experience in the public or non-profit sector will be considered an asset
Experience in Provincial Healthcare reporting standards will be considered an asset
Vulnerable Sector Police Check
Fundamentals of Palliative Care (preferred, must be completed within 12 months of hire)
Mask Fit (must be completed within 12 months of hire)
