This is a 1 year Term position

The Toronto District School Board adheres to equitable hiring, employment, and promotion practices.

Reporting to the Coordinator Disability Management, the Disability Management Systems/Records Administrator will provide support to the Coordinator in the implementation and administration of the Board's Disability Management program.

The Administrator will:

  • assist with the development, implementation and evaluation of business processes, forms, operational manuals practices, training materials, policies and procedures for the Board's Disability Management program;
  • ensure the disability management software application modules are set up and maintained;
  • set up processes to ensure the safety and security of disability management records,
  • conduct audits, analysis and reporting of trends, patterns, and indicators; and
  • assist with research for grievances, arbitrations and hearings.

Summary of Duties:

Ø Assist with the development and setting up of business processes, policies, procedures, operational manuals and training materials;

Ø Ensure business process documentation is kept current and accurate, making adjustments and updates where necessary;

Ø Review forms and letters; update and change as necessary to ensure quality and consistent standards are maintained;

Ø Provide instructional support in the use of disability management software (e.g. Parklane) and other related applications;

Ø Assist with the setup, testing, implementation and upgrades of the disability case management modules;

Ø Set up and implement records management processes to ensure the safety and security of all disability management records in accordance with best practices and legislative requirements;

Ø Liaise with WSIB and external vendors such as Parklane, EAP and medical providers;

Ø Work collaboratively with management, staff/departments, third party providers and union representatives to gather, provide and communicate information related to disability management;

Ø Conduct research and analysis in the usage of external providers (i.e. EAP or IME), and provide recommendations to assist with setting of criteria and evaluation of services;

Ø Provide confidential administrative support to the Coordinator to assist with review of WSIB decisions, grievances and arbitrations;

Ø Design and run various reports and queries to analyze trends, patterns, indicators, and to meet information requirements for Management/Federations/Unions;

Ø Provide support to the grievance/arbitrations/hearing process including conducting research, participating in meetings, preparing confidential correspondence and maintain a tracking database and files of all grievance/arbitration/hearings material;

Ø Maintain and update budget information for the department; and

Ø Other duties as assigned.

Qualifications:

Ø Two year community college diploma in related field (e.g., Human Resources, Business Administration) with a minimum of two years progressively responsible related experience in public sector environment, or an equivalent combination of education and experience;

Ø Records management experience;

Ø Knowledge and familiarity in the use of disability management software (e.g., Parklane);

Ø Strong technical computer skills including spreadsheets, databases, presentation packages, employee/payroll information systems and records management applications;

Ø Research skills to gather and analyze information to make recommendations and prepare reports;

Ø Experience and ability to maintain and work with confidential information;

Ø Familiarity with related legislations (e.g. WSIA, Occupational Health and Safety Act) Board and/or departmental policies, procedures and collective agreement provisions;

Ø Proven ability to communicate effectively both orally and in writing;

Ø Proven ability to work collaboratively in a team environment;

Ø Discretion, judgement and ability to deal with highly confidential information;

Ø Strong problems solving organizational and analytical skills; and

Ø Proven ability in promoting equitable practices which value inclusiveness and diversity.

Special Requirements:

Ø Occasional travel may be required
