Summary

Reporting to the Director, Technology Services and Multiservices Centre, the incumbent will ensure the smooth operation of all activities and services related to the Multiservices counter, as well as the support of audiovisual equipment in the University classrooms.

Key Responsibilities

General Duties

  • Assist with the purchases of office supplies, IT, stationery and equipment for the entire University and service.
  • Assist with support requests over the counter, on the phone, by email and through the ticket service; analyse, classify, prioritise and/or process and allocate requests and incidents to the IT staff, following up to ensure service level targets are met for each type of request.
  • Manage and support the student and employee identity and access cards and transit cards.

Management of the Photocopying and Printing Service

  • Assist with the production and verification of print jobs and copies for internal and external clients; check texts to ensure that copies comply with copyright laws, according to the guide.
  • Maintain the correct operation of printers including the PaperCut server.
  • Assist with maintenance and service requests for photocopiers, as well as ordering of parts and paper for these machines.

Financial Management

  • Assist with financial activities and invoicing at the Multiservices Centre and in the IT Service.

Mailroom Management

  • Follow the operating procedures and methods of the postal service for the University.
  • Assist with all operations related to receiving and sending mail, including the following activities: receiving mail and sorting and distributing it (externally and internally) on a daily basis; sending mail on campus and externally with Canada Post and all suppliers: Fedex, DHL, All Canadian, etc.

Parking

  • Assist with the sale and purchase of permits to employees, students and contractors/suppliers in person and online.

First-level Technical Assistance

  • Assist with the provision of first-level technical assistance to administrative and support staff, lecturers and students, by helping users identify technical problems, making an initial diagnosis, suggesting solutions and, if necessary, referring them to the Technician.
  • Ensure access to printing.
  • Assist with troubleshooting for standard software, simple network interventions, password resetting, use of learning management software and the wifi network, etc.
  • Provide basic support for the University's various IT systems, including PaperCut, the Counselling Centre's student network and the Library's laboratories;
  • Provide support with the management of access to peripheral photocopiers with PaperCut and train University employees in the proper operation of peripheral photocopies.
  • Ensure the proper functioning of the audiovisual equipment in all the University classrooms by checking its condition on a regular basis, carrying out the necessary maintenance, documenting incidents, resolving them, training users and reporting any more complex problems to the IT services team.

Education, Experience and Knowledge

  • Training in a relevant field or equivalent experience.
  • Practical experience with computers and technological, audiovisual and printing equipment.
  • Experience in customer service.
  • Experience working in a teaching and learning environment is an asset.
  • Experience with Windows operating system, Microsoft Office Suite, MAC environment and Adobe Connect.
  • Good knowledge of the PaperCut printer management system is an asset.

Résumé des fonctions

Sous l'autorité du directeur, Service de l'informatique et Centre multiservices, le titulaire assure le bon fonctionnement de toutes les activités et les services reliés au comptoir multiservices, ainsi que le soutien des équipements audiovisuels dans les salles de classe de l'Université.

Fonctions principales

  • Aider avec les achats de fournitures de bureau, d'informatique, de papeterie et de matériel pour l'ensemble de l'Université et du Service.
  • Aider avec les demandes de support au comptoir, au téléphone, par courriel et par l'entremise du service de billets; analyser, classifier, prioriser et/ou traiter et répartir au personnel des TI, les demandes et incidents, en assurant le suivi de façon à respecter les cibles des niveaux de service établis pour chaque type de demande.

Gestion du service de photocopies et d'impression

  • Aider avec la production et la vérification des travaux d'impression et des copies pour les clients internes et externes; effectuer la vérification des textes pour assurer, selon le guide, que les copies sont conformes aux lois sur les droits d'auteur.
