About the Opportunity

The Payroll & Benefits Specialist, reporting to the VP, People & Culture or his/her designates, works in partnership with the People & Culture team and all department Managers. This role delivers superior customer service to all employees, liaises with external suppliers and provides support related to pay and benefits.

Responsible for the full cycle payroll functions for both hourly and salaried employees in Canada and U.S

Responsible for Inputting all enrollments, changes, bonuses, commissions, terminations, new hires, etc. in accordance with process approvals

Create and communicate processes and policies for payroll administration, ensure adherence to implemented procedures and ensure full compliance

Ensure all vacation time and vacation pay is managed in accordance with statutory law and internal policies

Administer and maintain the time and attendance system to ensure accurate reporting or paid time and absence reporting

Run payroll-related reports as required and on time to support month end process

Complete year end processes related to payroll and benefits including year-end reconciliations, T4's, T4A's & W2's

Administer and maintain company benefits program for both Canada and US

Communicate with employees to ensure thorough understanding of benefits and address inquiries efficiently

Advise employees on eligibility, coverage and other benefit matters in a timely manner

Process billing and resolve discrepancies with insurance providers; reconcile and remit monthly premiums and record changes for both Canada and the US and maintains statistical data relative to premiums, claims and costs

Liaise with Insurance Carriers to resolve any issues with dental and other extended health care claims

Lead the annual benefits enrollment process in the US; communicate with all employees during open enrollment periods to explain plan changes and options

Maintain accurate employee records in the HRIS to support the ability to accurately report on people data

Support annual pay increase and variable pay processes by producing required reports, documentation and communication as requested

Explore, research and implement best practices to improve processes and to increase efficiency and maintain compliance with legislative requirements

Participate in other HR related projects as needed

Perform any other reasonable assignments given by the Department Management or his/her designates

Conduct all work duties as per the Occupational Health & Safety Act & Regulations, the health, safety & environmental policies, procedures, and policies of the client

About You

Completion of a college or university program in related program such as Human Resources, Business Administration or Finance

CHRP or CPM in Progress

5 – 7 years' experience processing full-cycle payroll in Canada and the US using payroll software, ADP preferred

Experience managing time and attendance software

Strong working knowledge with US and Canadian Benefits and Retirement Savings Programs

Working knowledge of Canadian and US payroll practices in Ontario, Quebec and Georgia

Intermediate to advance Excel skills

Ability to write routine reports and correspondence in English. Ability to present information in a clear and concise manner one on one or before groups of employees

To perform this job successfully, individual should have strong working knowledge of 3rd party payroll systems, time and attendance software and advanced Excel

Ability to maintain strict confidentiality

Strong mathematical skills

Working knowledge of payroll, tax, legislation and practices in Ontario

Strong interpersonal skills

Excellent Customer Service skills

Able to manage multiple demands efficiently

Hourly Rate $40 - $44/hr
