Under the direction of the Project Manager, Proposals, the Administrative Partner, Proposals will primarily be responsible for scheduling, formatting documents, tracking bids in Master Tracker, managing vendor forms, creating and maintaining folders, downloading RFPs from various sites, business development, assisting with presentations; with the goal of understanding business processes and practices and winning business.

Main Responsibilities:
  • Project tracking; Schedule meetings, monitor timelines, create and manage folders;
  • Manage project tasks in the team calendar;
  • Work with other internal departments to gather documentation required for projects;
  • Download new RFPs;
  • Upload documents through the legal and helpdesk department portals;
  • Coordinate and track translation and design requests;
  • Submit and track design requests through project management tool;
  • Provide formatting and pricing support to projects;
  • Create internal meeting documentation for project kick off;
  • Check bid sites for project opportunities;
  • Prepare vendor forms and other client-related documents (using Word, PPT, Excel and Google Docs);
  • Prepare sales and other presentations (using PPT/Google Sheets);
  • Conduct any general duties, specific projects and responsibilities as assigned by the Project Manager, Proposals.
Education & Experience:
  • 1-3 years' experience in an administrative role;
  • Strong English and French verbal and written skills;
  • Experience with automation or project management tools an asset;
  • Experience with data-driven decision making an asset;
  • Advanced MS Word, PowerPoint, Adobe, Excel and Google Docs skills essential;
  • Ability to work with large documents with multiple versioning;
  • Ability to work efficiently within short time frames;
  • Knowledge of the staffing industry would be an asset.
