The HRIS Specialist-UKG is responsible for leading data migration, system configuration, compliance alignment, and the integration of employee lifecycle processes. This role ensures the successful implementation of the HRIS system that meets organizational needs, supports regulatory compliance, and enhances HR operational efficiency across both Canadian and U.S. regions. This is a fixed-term contract lasting 3–5 months, depending on the project length.

Role Overview

The HRIS Specialist is responsible for leading data migration, system configuration, compliance alignment, and the integration of employee lifecycle processes. This role ensures the successful implementation of the HRIS system that meets organizational needs, supports regulatory compliance, and enhances HR operational efficiency across both Canadian and U.S. regions.

Requirements

  • Lead the extraction of HR data from legacy systems.
  • Perform data cleaning, mapping, and transformation to align with the new HRIS import specifications, covering employee demographics, payroll, time-off balances, and historical records.
  • Conduct comprehensive data validation and integrity checks post-migration to ensure full accuracy and compliance with privacy regulations.
  • Assist the project team in configuring core HR modules, including but not limited to Performance Management, Learning Management System (LMS), and employee records management.
  • Ensure configuration settings align with internal HR policies and relevant employment standards (Canada/U.S.).
  • Identify, document, and assist in resolving system defects and configuration gaps.
  • Collaborate with HR and Legal/Compliance teams to ensure system functionality supports applicable labor legislation, data privacy, and audit readiness.
  • Analyze and document existing HR workflows across the entire employee lifecycle, including onboarding, performance reviews, promotions, transfers, and offboarding.
  • Support the redesign and implementation of these workflows into the new HRIS, ensuring consistency, automation, and compliance with regulatory requirements.
  • Maintain clear, user-friendly documentation and process maps to support future HRIS governance and continuous improvement.
  • Provide on-site and remote support to HR and business users during the go-live phase.
  • Troubleshoot user-reported issues and liaise with technical teams for resolution.
  • Assist in delivering training sessions and producing training materials for HR team members, managers, and employees.
  • Support change management initiatives to promote successful adoption of the new system across all stakeholder groups.

Qualifications

  • 3–5 years of progressive experience in an HRIS Analyst, HR Technology Specialist, or equivalent role.
  • Hands-on involvement in at least one end-to-end HRIS implementation is required.
  • Familiarity with migrating data from non-traditional or custom-built HR platforms is an asset.
  • Working knowledge of U.S. and Canadian employee data handling and compliance with multi-jurisdictional labor standards (e.g., ESA, FLSA) is strongly preferred.
  • Advanced data handling proficiency, including Excel (VLOOKUP, pivot tables, macros), and comfort with large datasets.
  • Strong analytical and problem-solving skills with high attention to detail.
  • Self-motivated with the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Excellent verbal and written communication skills; able to translate technical concepts for non-technical audiences.

Benefits

  • Salary up to $55,000 to $65,000 CAD
