We are looking for someone who thrives in a fast-paced, team-oriented work environment and enjoys having a close connection to Rider Nation to temporarily fill our Administrative Assistant position! We are looking for someone to be the bread and butter of our organization and truly be able to own the admin hat and work their "office magic!"
Reporting to and working closely with the Executive Assistant, President & CEO, the Administrative Assistant is a unique position that provides the business operations with crucial administrative and front-facing support to keep everything running smoothly! This position is a key Brand Ambassador who supports many facets of the organization to ensure maximum efficiency and high-quality customer service both internally and externally.
Requirements
Where will your talents be focused? (includes but is not limited to)
- Be the first point of contact for public inquiries (in-person and by phone)
- Manage office supplies, mail, couriers, and general office flow
- Support departments with scheduling, travel bookings, meeting prep, and documentation
- Provide Accounts Receivable and Accounts Payable support with tasks such as invoicing, expense tracking and reconciliations
- Maintain contact lists and update office procedures
- Back up the Executive Assistant as needed
- Help coordinate internal events and support game day and Club events
- Miscellaneous duties as assigned
What's needed to be successful in this role?
- Completion of Office or Business Administration diploma or equivalent preferred
- 1-2 years of experience working in an office environment and completing administrative duties
- Proficiency with computer software such as Microsoft Office Suite programs, printers and multi-line phone systems
- Act as a key touchpoint for all Club interactions. Approachability, trust, and reliability are key traits we are looking for!
- Solution focused approach with a passion to seek out information and approach challenges with a methodical approach
- Proven communication and organizational skills to multi-task in a fast-paced environment with minimal supervision
- Excellent oral and written communication skills
- Attention to detail and the ability to listen, ask appropriate questions and remain patient with difficult clients or in complex situations
- A willingness to learn and grow to continuously improve on existing processes and procedures
- Ability to work irregular business hours including all game days
