Peter Lucas is seeking a dedicated and highly organized Project Procurement Administrator to support the project procurement team in ensuring the effective and efficient administration of procurement activities. This role will focus on maintaining project documentation, assisting in procurement processes, and ensuring compliance with health and safety protocols.

Key Responsibilities:

  • Promote and enforce the site and Safety culture, ensuring a safe work environment by adhering to safety protocols.
  • Maintain and organize Google Drive package folders and overall Project Procurement Matrix.
  • Scan Quality Control (QC) and Inspection and Test Plan (ITP) handover documents and upload them onto SharePoint.
  • Manage asset numbers and spare parts handover to maintenance, creating assets in Maximo if over 30 assets.
  • Assist in preparing weekly meeting minutes and project status reports.
  • Compile proposals and file them in Google Drive project folders for easy access and tracking.
  • Upload vendor insurance and worksafe documents to Google Drive folders for compliance.
  • Email site alerts regarding project-related activities to ensure smooth communication.
  • Complete bidders' lists for review and approval by the procurement and project managers.
  • Create and process purchase requisitions to meet project requirements.
  • Draft Letters of Regret to unsuccessful bidders.
  • Assist the Construction Management (CM) team with contractor field verification as required.
  • Perform additional duties and responsibilities as required by the project needs.

Schedule: Monday to Thursday (4-day work week).

Hybrid role: Every other week at site.

This is a short term 2 month contract role.

Requirements

  • Proficiency in SharePoint and Google Suite products.
  • Familiarity with Document Control Standards and Procedures and version control of documents.
  • Knowledge of Project Controls Processes including cost, schedule, and change management.
  • Proficiency in Microsoft Suite of products.
  • Experience with SAP S4 HANA ERP system (familiarity with IBM Maximo is a plus).
  • Skilled in handling PDF programs and document management tools.
  • Highly organized with the ability to locate and manage information within provided systems efficiently.
  • Strong verbal and written communication skills to ensure clear and concise information sharing.
